Office Administrative Assistant

They are seeking an Office Administrative Assistant to provide essential support by managing schedules, handling communications, organizing files and documents, and coordinating events.

Responsibilities

Answer phones
Manage emails
Greet visitors
Handle and organize email communications, including company general email
Communication with company relationships, including other administrative staff
Organize and schedule in-person and virtual meetings
Manage calendars and send calendar invites
Manage and book conference rooms
Arrange travel and transportation
Book reservations
Organize company gatherings
Event planning
Prepare, obtain, edit, organize and distribute: invoices, reports, and correspondence
Provide weekly meeting reports
Creating and maintaining organized filing systems (Dropbox)
Managing company software
Managing company memberships
Oversee and update company website
Oversee and facilitate company social media
Assist with data entry
Assist with project-related paperwork and tasks
Basic bookkeeping support
General support for staff and management
Maintain a clean and organized office
Stock office supplies including food and drink
Monitoring and managing equipment maintenance
Order office furniture and equipment
Facilitate functional technology systems
Order company, project and marketing merchandise

Required

Proficiency in: Microsoft Office (outlook, excel, word and powerpoint), Zoom, Microsoft Teams, Google Meet

Will be handling sensitive and confidential information on the company and company executives, confidentiality is of the upmost importance
