ADMINISTRATIVE ASSISTANT III - Sheriff's Office (Part-Time)

Isanti County is seeking an Administrative Assistant III to support the Planning Division Director and Planning Board. The role involves a variety of administrative tasks including preparing agendas, transcribing minutes, and managing correspondence while supervising a Planning Secretary.

Government Administration

Responsibilities

Provides secretarial assistance for the Director of Planning and Planning Board
Prepares types, copies, and files information data as needed
Prepares inter-office correspondence/documents to other departments
Prepares correspondence to Planning Board, including agendas, meeting packets, orientation package, training materials, and other related items
Updates information on Board members, i.e., terms, addresses, etc. and maintains data on website
Communicates by telephone and in person with other department heads, employees, and Planning Board members and citizens providing answers to questions
Assists in the preparation of the agenda for Planning Board meetings, including organizing and providing explanation of items on the agenda
Prepares and assembles agenda packages for distribution by mail to Planning Board members
Assists with preparation of minutes from Board meetings
Formats minutes after approval by the Board for placement in docket book and post on county website
Forwards Planning Board decisions, documents, and requests for public hearings to Commissioners for placement on their agenda
Prepare and process certified letters to all concerned parties of the BOCC's public hearing date
Prepares requisition slips for purchasing department items, attaches invoices and process to Finance Office for payment
Type and process purchase orders when required
Monitor record of budget expenditures and prepare monthly budget reports for director
Assists director with budget planning process and makes recommendations for department's needs and requirements
Types correspondence and memos from handwritten materials as needed by Planning Director and Senior Planner
Purchases supplies for use by department, Director, and Planning Board
Prepares daily and monthly deposits reports of monies received by the Planning Department
Balances monies and forwards deposits to Finance Office
Process travel expenditures for department members and codes to budget
Maintains a monthly log of department expenditures
Works with staff attorney on contacts of leased office machines/equipment and other legal issues regarding planning issues
Prepares legal notices for public hearings and forms of certification for proof of authentic department documents for legal purposes
Maintains and updates Land Use Ordinance after adoption in permanent ordinance book and on county website
Maintain an ample supply of updated Land Use Ordinance and Land Use Plan books in office for purchase by the public
Arrange process and monitor cost of reprinting of books as needed
Responds to public inquiries routinely, by phone and in person, concerning house numbers, directions to various county roads, subdivisions, etc
Interacts with developers and public furnishing information related to tax maps, subdivisions and other maps as requested
Processes minor subdivision plats and correspondence and sends to various county departments as requested
Notifies owner of status of replies and requests mylars to be presented for signing
Processing rezoning petitions and sends notices by registered mail to property owners and adjacent property owners of proposed rezonings
Provide information to public regarding parcels of land, i.e., census tract number, FEMA determinations and map number, zoning, and addresses
Follow up on requests to determine if sites/locations are in the county and /or if proposed lot(s) are legal or available
Process employee time cards and forwards to Personnel Department
Distributes payroll checks and other personnel related materials
Process mail for the department, runs postage, and delivers to post office for postal delivery
Makes daily mail pick-ups at post office and distributes to correct staff
Orders supplies for the department and monitors depletion of supplies for re-ordering
Obtain quotes and type and process purchase orders as required by Finance Office
Updates and indexes various files for the department, i.e., subdivision lists (major and minor), rezonings and major development permits
Makes copies and prepares packages, letters and other information for the department for internal and external use
Makes independent decisions as necessary
Assists Senior Planner as needed
Performs other related work as required

Required

Associate Degree in Business Administration or Secretarial Science or related field
Five to seven years of experience in technical and administrative support work in a governmental setting
Ability to type at least 50 words per minute
Proficient in Microsoft Office products
Ability to exercise independent judgement and attention to detail
Ability to exercise tact and courtesy in frequent contact with developers, property owners, general public and other department staff
