Senior Executive Assistant / Office Manager
Reyes Financial Architecture is a well-established and growing boutique financial services firm located in the UTC area. They are seeking a Senior Executive Assistant / Office Manager to provide high-level administrative support to the CEO and CFO while serving as the first point of contact at the Front Desk, ensuring a warm and professional client experience.

Responsibilities
Manage and maintain the Founder’s calendar in coordination with the broader team, ensuring efficient scheduling of meetings and appointments
Coordinate and prepare for meetings, conference calls, and Zoom sessions within a tight and dynamic calendar
Welcome guests upon arrival, escort them to the conference room, and offer refreshments to ensure a warm and professional client experience
Handle sensitive and confidential information with the utmost discretion and integrity
Receive, sort, and distribute incoming mail; manage office supply inventory, place orders, and track deliveries
Answer incoming calls using a multi-line phone system and headset; determine the purpose of each call and route it appropriately or take detailed messages as needed
Support executives and the advisory team by taking direction and executing tasks efficiently
Order lunches for executive staff and assist with meal coordination as needed
Maintain the cleanliness and organization of common areas, including the kitchen, offices, and conference rooms
Manage client-facing office announcements, including holiday schedules, office closures, and other communications
Collaborate with the team to coordinate and support evening client workshops, client appreciation events and/or holiday events
Demonstrate the ability to work independently and take initiative without supervision
Exhibit strong problem-solving skills, resourcefulness, and a proactive approach to challenges
Qualification
Required
Proven, long-term experience as an Executive Assistant or Personal Assistant is strongly preferred
Prior experience in the financial services industry—such as within an investment advisory firm, brokerage, or mutual fund company—is highly desirable
Proficiency in Gmail, Microsoft Word, Excel, and PowerPoint
Advanced proficiency in Salesforce CRM is required
Personable, approachable, and consistently maintains a positive, professional attitude
Highly organized, detail-oriented, and capable of managing multiple tasks and priorities simultaneously
Strong interpersonal skills with the ability to work effectively with team members and clients at all levels
Demonstrates sound judgment, particularly in recognizing urgency and setting appropriate priorities
Maintains a mature, professional demeanor and appearance at all times
Self-motivated and able to work independently with strong problem-solving and time management skills
Exercises a high degree of discretion, confidentiality, and professional integrity
Exceptional verbal and written communication skills
Demonstrates excellent follow-up and follow-through capabilities to ensure tasks are completed accurately and on time
Must successfully pass a comprehensive civil/criminal background check and credit screening
