Executive assistant to the Managing Director
Locomotive Events is a fast-growing live entertainment company producing high-energy, large-scale event experiences across the country. They are seeking a dependable and highly organised Executive Assistant to support the Managing Director by managing schedules, communications, and priorities while assisting with on-site event activations as required.

Responsibilities
Provide direct administrative and organisational support to the Managing Director
Manage Event calendars for all locomotive events, scheduling, and meeting coordination
Coordinate travel arrangements and itineraries as needed
Prepare notes, summaries, and follow-up items from meetings
Handle confidential information with professionalism and discretion
Organise incoming requests, emails, and action items
Assist with prioritising tasks and managing deadlines
Support the Managing Director by handling routine communications and follow-ups
Liaise with internal teams and external partners as directed
Attend internal team meetings on behalf of the Managing Director when required
Take detailed notes, capture action items, and document decisions
Follow up with internal teams to ensure agreed deadlines and deliverables are met
Help maintain alignment between leadership and internal teams
Conduct regular check-ins with venue partners
Assist with follow-ups related to future booking dates and availability
Support ongoing communication to maintain strong venue relationships
Support on-site event activations as required
Assist with coordination and communication during live events
Help troubleshoot issues and support smooth execution
Act as a support extension of the Managing Director during events
Assist with document preparation, organisation, and record keeping
Support ad-hoc administrative or coordination tasks across the business
Help ensure efficient day-to-day operations
Qualification
Required
Previous experience as an Executive Assistant or in a similar administrative role
Experience in a fast-paced environment; events or entertainment experience preferred
Strong organisational and time-management skills
Clear and professional communication skills
Ability to work independently within defined responsibilities
Reliable, detail-oriented, and adaptable
Comfortable working a hybrid schedule with occasional schedule flexibility
