Responsibilities

Track and manage daily, weekly, and monthly attendance and leave filings for all RPs using Hubstaff, including tagging tardiness, absences, overbreaks, undertime, and AWOL
Monitor attendance trends and flag RPs approaching or reaching warning thresholds
Manage Hubstaff accounts, address routine queries, and coordinate with Hubstaff support for technical concerns
Maintain accurate attendance and leave records across internal systems, ensuring discrepancies are resolved prior to payroll or client reporting
Prepare, update, and maintain HR trackers, databases, and recurring reports using Google Sheets and internal platforms such as BambooHR, Notion, Empuls, Google Drive, and Google Calendar
Gather and consolidate RP data for benefits enrollment, payroll coordination, and HR reporting
Ensure receipts, expenses, and company documents are properly uploaded, organised, and maintained for audit and reporting purposes
Send routine HR reminders related to attendance, leaves, holidays, surveys, and internal deadlines
Serve as the first point of contact for RPs regarding routine HR and policy-related questions, escalating more complex concerns as needed
Assist in planning, coordinating, and executing virtual and off-site engagement events and gatherings
Host scheduled Happy Hours and engagement activities
Coordinate procurement, preparation, and distribution of RP gifts and celebratory collaterals (birthdays, anniversaries, new parents, get-well, bereavement, and client gifts)
Create basic engagement and event collaterals using Canva or existing templates
Follow up with RPs on surveys, engagement forms, and internal communications
Coordinate with vendors and suppliers for event logistics, merchandise, and engagement initiatives
Handle errands related to events, gifts, or engagement activities as required, especially during peak periods
Maintain recurring HR and operational reports such as attendance summaries, internet speed test results, and laptop maintenance tracking
Proactively identify and flag operational and compliance-related red flags, including attendance patterns, connectivity issues, and equipment concerns
Escalate actionable insights and trends to the People & Culture team
Support Business Continuity Planning (BCP) activities by gathering data and assisting with operational tasks during emergencies or disruptions
Provide basic technical support for company-issued laptops and equipment, including initial setup, minor troubleshooting, and Windows installation or reinstallation following standard instructions
Maintain accurate records of laptops and equipment, including issuance, return, condition, assignment, and preventive maintenance
Safekeep returned laptops and equipment and coordinate retrieval, shipping, or repairs as needed
Assist with procurement or transport of company laptops or equipment when required
Identify recurring technical or equipment-related issues and flag them for escalation
Draft and send Notices to Explain (NTEs) and Verbal Warnings for routine HR cases under guidance
Provide coaching for minor infractions and maintain proper documentation and coaching logs
Track and document disciplinary cases and related records in internal systems
Escalate complex, sensitive, or high-level RP relations cases to the People & Culture team
Make necessary process suggestions and improvements which can help the team
Contributes to team effort by accomplishing related results as needed
Perform other related tasks and duties that may be assigned by the client later on

Required

1–2 years of experience in HR administration, HR operations, or a similar role
Strong working knowledge of Google Sheets and GSuite
Comfortable learning and navigating multiple systems and platforms
Highly organised, detail-oriented, and proactive
Able to handle confidential and sensitive information with professionalism
Strong interpersonal skills with a calm and people-oriented approach
Able to manage multiple tasks, prioritise effectively, and take ownership of operational responsibilities
Willing to go onsite for events, oculars, and coordination as needed
