Responsibilities

Proficient in Word, Microsoft Outlook, Excel and Word Perfect
Exhibit strong written and verbal communication skills; highly detail‐oriented, organized, and effective in a team environment
Answer and route incoming calls, provide information, and take accurate messages
Order, organize and bind Condominium and Homeowner Association Declarations
Prepare letters, notices, amendments, and contracts
Prepare Annual Meeting packages
Ensure our client contracts are always up to date
Open, and electronically file incoming mail and related materials for assigned attorney’s
Manage the attorney’s daily, weekly, and monthly calendar and deadlines
Set tickler/reminders for various follow ups
Schedule Zoom and in‐person meetings and prepare necessary meeting documents
Open new files in the Document Management Software and maintain accurate documentation as well as hardcopy files
E-file documents in various counties
Locate and attach relevant files for correspondence requiring responses
Maintain organized paper and electronic filing systems
Journal emails and documents in the Document Management Software
Make copies and support general office document preparation
Perform transcriptions, proofreading, filing, billing entry, and postage processing (stamps.com)
Follow established workflows and track daily tasks
Interact professionally with court staff, clients, property managers, and opposing counsel
Assist with seminar preparation and attend seminars as needed
Perform additional tasks as needed
