Administrative Assistant II

Responsibilities
Serve as an administrative support resource across multiple DTI sites, ensuring consistent communication, coordination, and operational support
Communicate program-related information, reports, and updates with Program Supervisors, Directors, and relevant external agencies as needed
Maintain accurate and organized records and files, including end-of-day sheets, schedules, transportation logs, roll sheets, contact lists, UR trackers, etc
Track, order, receive, stock, and distribute office supplies and program materials; monitor supply needs across sites
Support purchasing, inventory, and coordination of DTI snacks in alignment with program needs
Maintain program logs and assist with tracking operational data and compliance documentation
Assist in gathering, organizing, and documenting PQI data and outcomes to support quality improvement and reporting requirements
Provide direct administrative support to Program Supervisors, including scheduling, correspondence, and document preparation
Support with any client scheduling needs and manage incoming telephone calls; respond to routine inquiries and appropriately route calls to clinical or program staff as needed
Coordinate and schedule meetings, appointments, and program-related events, including psychiatrist appointments and family communications
Support phone communication with families regarding schedules, appointments, treatment logistics, and routine program questions
Obtain, track, and maintain current Releases of Information (ROI) for all members of the treatment team involved in care
Engage in all document gathering, scanning and uploading into the Electronic Health Record for all sites in a HIPAA compliant manner
Participate in the intake "meet and greet" process to support a welcoming and organized admission experience
Facilitate aftercare follow-up calls with discharged families and document outcomes as required
Assist in preparing materials and documentation for audits, reviews, site visits, and reports
Perform other administrative duties as assigned to support program operations and continuity across DTI sites
Qualification
Required
High school or equivalent (Required)
Driver's License (Required)
Ability to work flexible hours
Preferred
Bachelor's degree preferred
Administrative Assistance: 1 year (Preferred)
