Responsibilities

Oversee and coordinate the administrative functions of the office
Manage and, when applicable, supervise administrative staff to ensure efficient workflow
Maintain office supplies, equipment, and facilities, including coordinating maintenance and repairs
Develop, implement, and refine office policies, procedures, and standard operating processes
Monitor and track office budgets and expenditures
Assist with procurement activities, including requisitions, purchase orders, and invoice reconciliation
Coordinate with vendors and service providers to ensure timely and effective support
Maintain records, databases, and information systems in compliance with federal and agency guidelines
Serve as the primary point of contact for internal and external stakeholders on administrative matters
Support the preparation of reports, briefings, correspondence, and meeting materials
Provide coordination and administrative support for program activities and special projects, including strategic partnership initiatives
Track project milestones, deliverables, and deadlines to support mission execution

Required

Demonstrated knowledge of office management principles, practices, and federal administrative procedures
Experience with budget monitoring, procurement processes, and vendor management

Capable of analyzing situations, identifying issues, and implementing solutions with minimal supervision
Effective written and verbal communication skills; able to collaborate across diverse teams and interface with internal and external stakeholders
