Administrative Assistant, DCP

They are seeking an Administrative Assistant to provide high-level administrative, operational, and communication support to the Doctor of Counselling and Psychotherapy Program, ensuring smooth functioning and supporting faculty and students.

Responsibilities
Support program administration. You will assist in managing the Chair’s calendar and coordinating meetings, as well as in organizing program events and committees. You will prepare agendas, take minutes, track action items, and support follow-up activities. You will coordinate course scheduling, program communication, and maintenance of program handbooks, guidelines, and forms. You will update and maintain program websites and student information portals. You will develop and maintain automated workflows using Microsoft Power Automate (e.g., automated reminders, approval flows, task notifications). You will create SharePoint- or Lists-based tracking systems for program operations
Serve as the initial point of contact. You will respond to Doctor of Counselling and Psychotherapy (DCP) student inquiries, providing clear information on policies, timelines, and procedures. You will maintain program records and databases, including student progression, faculty/supervisory assignments and academic forms. You will track the submission and approval of key program documents. You will implement automated communications, deadline reminders, and workflow-triggered notifications to improve student engagement and compliance with timelines
Coordinate Applied Scholarship Projects. You will assist in managing administrative processes for proposal defences and final defences. You will communicate with supervisors and internal and external examiners to confirm availability and schedule, coordinate document distribution and ensure timelines are followed for internal and external reviews. You will track defence outcomes and milestone completion, and maintain templates and standardized documentation related to doctoral research processes
Support Chair, Associate Chair, and Faculty. You will assist in gathering data for accreditation, program reviews, and regulatory reporting. You will compile enrolment data, graduation statistics, faculty loads, and survey results and assign Faculty to courses on a term-by-term basis. You will collect and distribute course materials, syllabi, and resources, and liaise with internal departments (Registrar’s Office, Research Ethics Board, Finance, IT) on behalf of the program
Qualification
Required
You have a university degree in Business, Education, Psychology, Counselling, or a related field, combined with administrative experience, preferably in a postsecondary or clinical training environment
You can manage calendars, schedules, meetings, and documentation, including reporting
Ideally, you have experience working closely with faculty and the registrar's office or a similar level of coordination and support
You may be familiar with academic research processes and policies, and you may have exposure to supporting graduate-level academic programs
You take ownership of your work and seek new opportunities to learn and grow
You are curious, energetic and driven to perform effectively in a demanding, high-growth, fast-paced environment
You hold yourself to high standards of confidentiality and are aware of sensitive information

You have a demonstrated ability to use digital tools to improve administrative efficiency (e.g., automated reminders, workflow design, shared tracking systems)
You have professional communication skills, confidence in representing the department, and experience in building processes, writing documentation, and creating reports
You can influence without authority, manage conflict, and nurture trusting relationships at any level
You respect and appreciate diverse experiences and opinions
You are comfortable using a range of communication tools
