Executive Assistant (Operations + Client Coordination)
James Baker & Associates is a fast-growing international tax and business advisory firm serving entrepreneurs, investors, and companies worldwide. They are looking for a highly organized, proactive Executive Assistant to help run day-to-day operations, support the CEO, and ensure smooth client coordination across multiple offices and global time zones.
Responsibilities
Receive, sort, scan, and organize incoming mail from multiple U.S. office locations
Maintain structured digital records and ensure nothing is lost or delayed
Oversee Miami office operations and maintain a professional, welcoming environment
Print, prepare, assemble, and mail client and administrative forms
Respond to client emails with professionalism and clarity
Coordinate document collection and follow-ups (you’ll keep clients moving)
Track activities, update client folders/databases, and maintain clean records
Support the CEO with operational follow-ups and prioritization
Ensure requests and tasks don’t fall through the cracks
Improve systems and workflows where possible (we welcome initiative)
Qualification
Required
Extremely organized and known for your attention to detail
Proactive — you don't wait to be told what to do; you anticipate and execute
Strong communicator in writing and verbally (international clients, high expectations)
Comfortable managing multiple priorities with minimal supervision
Tech-capable and quick to learn tools (Google Workspace, CRMs, scanners, task systems)
Preferred
2+ years in an Executive Assistant / Administrative / Office Management role
Experience in a professional services environment (law, accounting, tax, consulting) is a plus
