Onboarding & HRIS Specialist (Hybrid, $31/hour)
Ultimate Staffing is supporting a national leader in the consumer services industry, seeking an organized and detail-oriented Onboarding & HRIS Specialist. This role is responsible for managing the full pre-boarding and onboarding process, ensuring new hires feel welcomed and supported from day one.
Responsibilities
Prepare, send, and track offer letters using Paycom
Coordinate pre-employment requirements including background checks, compliance forms, and I‑9 documentation
Communicate with candidates throughout the offer and pre-boarding process to provide clarity, guidance, and a positive candidate experience
Manage new hire workflow tasks in Paycom, ensuring timely and accurate completion
Set up new employee profiles, job codes, compensation details, documents, and access requirements in Paycom
Partner with IT, payroll, and hiring managers to coordinate equipment, system access, and first‑day readiness
Facilitate new hire orientation sessions, including company overview, HR policies, and team introductions
Monitor onboarding progress, follow up on missing tasks, and ensure full compliance with internal processes
Serve as the primary point of contact for new hires during their first 90 days
Maintain compliance with federal, state, and industry-specific employment requirements
Continuously look for opportunities to improve the onboarding experience and enhance efficiency
Help track onboarding metrics and provide reporting to HR leadership as needed
Qualification
Required
2+ years of experience in HR, onboarding, recruiting coordination, or a related function
Strong organizational skills and the ability to manage multiple competing priorities
Excellent written and verbal communication skills
High attention to detail and strong follow-through
Customer-service mindset and ability to provide a positive experience for employees and leaders
Ability to handle sensitive information with discretion and professionalism
Preferred
Experience using Paycom or a similar HRIS strongly preferred
