Project Administrator
Smart Factory IO is a consulting firm specializing in system integrations and software implementation for various industries. The Project Administrator will support the configuration of a loan servicing solution and document the implementation process, collaborating with internal consultants and external stakeholders to ensure project success.

Responsibilities
Learn and operate the loan servicing platform as an advanced business user, including loan product setup, billing rules, payment options, and workflow configuration
Document end‑to‑end implementation steps: environment setup, configuration sequences, test cases, and go‑live readiness checklists
Create clear, reusable artifacts (runbooks, configuration guides, user procedures, and FAQs) to synthesize the implementation approach for future Smart Factory clients
Support vendor management by tracking open issues, coordinating meetings, capturing decisions, and ensuring follow‑ups are actioned and documented
Assist with requirements clarification and mapping business processes (loan setup, servicing, collections, payoff, restructures) into platform configuration and workflows
Help design and refine servicing and operations processes, identifying opportunities for process improvement and automation using the platform’s capabilities
Maintain organized project documentation (decisions, risks, action logs, implementation timelines) and provide concise status inputs to the Smart Factory project lead
Qualification
Required
3+ years in financial services, preferably in loan operations, servicing, or lending technology support
Hands‑on experience as a platform or system user in a banking, credit union, fintech, or lending environment (loan origination, servicing, or related systems)
Demonstrated experience with process documentation, procedure writing, or operating manuals for financial or operational workflows
Exposure to vendor‑implemented platforms (core banking, LOS, servicing, or similar) and comfort working with both business and technical teams
Customer‑facing experience (internal or external), such as supporting operations teams, front‑line staff, or client stakeholders during system or process changes
Strong analytical and structured thinking skills; able to translate business processes into clear steps and configuration requirements
Excellent written documentation skills for guides, SOPs, and training materials. Instructional design and/or ADDIE a plus
Collaborative style with the ability to work across consulting, client, and vendor teams without needing formal project management authority
