Director of Operations and Finance
PALTOWN Development Foundation is a nonprofit organization focused on supporting cancer patients and caregivers through online communities. The Director of Operations and Finance is responsible for overseeing financial management, compliance, and operational systems to ensure the organization runs smoothly and efficiently.
Responsibilities
Oversee organizational operations, workflows, onboarding processes, and knowledge-management systems
Lead risk management, including: Insurance audits and renewals (workers’ compensation, D&O, liability)
Quarterly PCI compliance
Implementation of cybersecurity controls
Supervise Information & Security Risk Specialist to ensure IT audit recommendations are completed
Support logistics for organizational events, including travel coordination, policy development, and budget management
Support Board meetings, retreats, and cross-department initiatives
Vendor and Contract Management
Mail and Address Management
Audit & Tax Compliance
Strategic Budget Development
Supervise Operations & Finance team members, including: Operations & Finance Coordinator, Operations & Finance Specialist, Information & Security Risk Specialist, Interns/seasonal roles
Hire, onboard, train, and develop staff
Foster a collaborative, high-performance team culture
Manage relationships with external accountants, auditors, HR consultants, legal counsel, and other providers
Other responsibilities as assigned and agreed upon
Qualification
Required
Bachelor's degree required
3–5 years of experience in nonprofit operations, finance, or administration required
High integrity, sound judgement, and commitment to PALTOWN's mission
Strong communication, leadership, and project management skills
Proven ability to build systems and implement organizational change
Strong contract negotiation and vendor management skills
Experience leading or supporting remote teams
Ability to translate complex financial and operational concepts clearly
Highly self-directed while effective in a collaborative environment
CRM experience (Neon or similar)
Project management software expertise (ClickUp, Asana, Monday.com)
Strong troubleshooting and software integration abilities
Experience with knowledge-management tools
Ability to quickly learn new systems
Strong nonprofit accounting knowledge (GAAP)
Experience with audit preparation and coordination
Understanding of functional expense allocation and Form 990
Preferred
Master's degree in business, finance, public administration, or related field preferred
CPA strongly preferred
Experience in a growing or fully virtual organization strongly preferred
Experience with multi-state compliance preferred
Knowledge of charitable solicitation registration processes preferred
