Executive Assistant
ESP Presents is an event production firm specializing in creating purpose-driven and experiential programs. They are seeking a highly organized and proactive Executive Assistant to support the Co-Founders in maximizing their schedules, managing priorities, and ensuring efficient operations. The role involves providing executive, business, operational, and personal support to facilitate company growth.
Responsibilities
Manage the CEO/CSO complex calendars by scheduling/re-scheduling/confirming meetings and providing meeting details to parties involved
Serve as a point of contact between the CEO/CSO and external stakeholders
Support key information sharing between CEO/CSO to leadership team members (Vice President, Director of Ops/Comms)
Serve as first point of contact for requests from the team to the CEO/CSO; vet and prioritize requests
Attend meetings as requested to support notetaking and document task lists
Handle sensitive and confidential information with the highest level of discretion
Coordinate logistics for high-level meetings, client presentations, and company events
Track action items, deadlines, and priorities to ensure follow-through on key initiatives
Track leads, meetings, and follow-ups to ensure momentum through the sales pipeline utilizing CRM software
Maintain CRM data, sales trackers, and reporting dashboards as needed
Conduct research on prospective clients, markets, competitors, and opportunities
Ensure the CEO is fully prepared for all client-facing interactions
Support special projects, research, and strategic initiatives on behalf of the CEO
Handle confidential information and contracts with discretion and professionalism
Maintain organized digital and physical filing systems
Oversee day-to-day administrative tasks to keep operations running smoothly
Anticipate challenges and proactively solve problems before they escalate
Support special projects as directed by the CEO
Help complete personal tasks for CEO/CSO as requested (i.e., household management - dry cleaning, ordering supplies, returning packages, picking up groceries; pet care - walking/feeding the dog, taking dog to vet appointments, etc.)
Qualification
Required
3+ years of experience as an Executive Assistant or Sales/Business Development Coordinator supporting senior leadership
Exceptional organizational and time-management skills with an understanding of sales processes, pipelines, and client relationship management
Strong written and verbal communication skills
High level of professionalism, discretion, and emotional intelligence
Ability to multitask, prioritize, and remain calm under pressure
Proficiency in Google Workspace required
Ability to identify and learn new technology platforms quickly to optimize business operations
Reliable, consistent, and punctual; transparent with scheduling constraints and ability to be flexible to meet demands
Proactive, resourceful, and solutions-oriented
Detail-driven with the ability to see the big picture, connect the dots, and anticipate challenges
Confident communicator who is comfortable interacting with high-level clients
Adaptable and comfortable in a fast-moving, entrepreneurial environment
Ability to maintain confidentiality
Driver's license required; own vehicle for errands a plus
Must be willing to travel
Preferred
Experience in event production, creative agencies, hospitality, entertainment, or a client-driven environment preferred
Proficiency in CRM platforms and project management tools preferred
High comfort level with dogs (English Bulldog)
