Spare Parts Manager

United Imaging is a leading global medical device developer and supplier, and they are seeking a Spare Parts Manager to ensure the availability of service parts for healthcare systems. The role involves managing spare parts strategy, demand planning, inventory optimization, and cross-functional collaboration to support service operations and improve patient care.

Responsibilities

Own the end-to-end spare parts management strategy to support service operations and uptime commitments
Establish and maintain spare parts policies, including stocking strategy (central vs. regional), min/max levels, safety stock, and replenishment parameters
Partner with Field Service leadership to align parts availability with service coverage models, installed base growth, and response-time targets
Develop parts forecasts using historical consumption, installed base data, failure rates, PM schedules, and new product introduction (NPI) ramp plans
Monitor inventory performance and execute actions to prevent stockouts, excess, and obsolescence
Drive continuous improvement in inventory turns, fill rate, and aging inventory reduction
Manage day-to-day operations of service parts warehousing and distribution (internal warehouse and/or 3PL partners)
Ensure timely receiving, put-away, picking, packing, shipping, and delivery performance for field and customer orders
Define and enforce shipping standards (packaging, labeling, temperature handling if applicable, hazmat rules where relevant), and optimize freight modes/cost
Ensure cycle counting, physical inventories, and inventory accuracy targets are met
Manage parts lifecycle from introduction through end-of-life (EOL), including substitutions, supersessions, and engineering change impacts
Coordinate with Engineering/Manufacturing/Quality on part updates, compatibility, traceability, and quality holds
Lead obsolescence management plans, including last-time buys, alternative sourcing, and controlled inventory drawdown
Own the reverse logistics process for failed parts, warranty returns, RMA processing, and core return programs
Manage repairable spares flows including triage, vendor repair, refurb exchange, and turnaround-time (TAT) performance
Partner with Procurement to negotiate service parts supply terms, lead times, MOQ constraints, and repair/vendor contracts
Manage spare parts cost controls, budget adherence, and periodic parts pricing/review (as applicable to service contracts)
Identify and implement cost reduction initiatives while protecting service levels
Ensure processes support applicable regulatory and quality system requirements (e.g., traceability, controlled storage, documentation)
Maintain compliance with import/export controls, customs requirements, and internal controls for inventory and purchasing
Build dashboards and regularly report KPIs to leadership; communicate risks and mitigation plans proactively
Lead, coach, and develop spare parts coordinators/planners and warehouse/3PL interfaces as applicable
Establish clear SOPs and training for parts processes across service operations
Serve as the primary escalation point for critical parts shortages and high-priority customer events

Required

Bachelor's degree in Supply Chain, Logistics, Business, Engineering, or related field (or equivalent experience)
5+ years of experience in spare parts, service supply chain, inventory planning, or logistics operations (medical devices, imaging, or high-tech preferred)
Demonstrated experience managing inventory optimization, forecasting, and replenishment systems
Working knowledge of ERP and inventory systems (e.g., SAP, Oracle, NetSuite) and WMS/TMS tools
Strong analytical skills (Excel required; Power BI/Tableau or similar strongly preferred)
Proven ability to lead cross-functional problem solving and manage escalations calmly and effectively
Excellent communication skills with the ability to translate operational detail into executive-level summaries

Preferred

Experience supporting complex capital equipment service organizations (medical imaging, diagnostics, robotics, semiconductor tools, etc.)
APICS certification (CPIM/CSCP) and/or Lean/Six Sigma certification
Experience managing 3PL partners and multi-site distribution networks
Familiarity with regulated environments and traceability requirements
Bilingual skills (based on region) and experience working with global teams/suppliers
