Client Care Coordinator/Office Administrator

Responsibilities
Greet clients warmly and create a welcoming atmosphere in person and over the phone
Confirm appointments, manage follow-ups, and communicate proactively with clients
Maintain consistent outreach to clients to ensure satisfaction and address inquiries
Assist with policy-related questions, updates, and changes
Perform general administrative duties such as scanning, electronic filing, and document organization
Coordinate daily schedules and maintain calendars for the team to meet key milestones and deadlines
Prepare materials for team meetings and client consultations
Create and send personalized video email communications
Process financial and insurance applications accurately and efficiently
Manage CRM data: input new clients, maintain up-to-date records, and oversee task and calendar management
Assist with special projects, as assigned
Manage and schedule content for social media platforms
Utilize Microsoft Office (Word, Excel, PowerPoint) and Google Workspace tools effectively
Comfortable with technology and willingness to learn new platforms

Associate's or Bachelor's degree
2+ years of administrative or office experience
Experience in financial services or insurance industry
Insurance license is a bonus, but not required
