Responsibilities

Greet and welcome guests, clients, and vendors with warmth and professionalism, providing an extraordinary first impression aligned with our relentless customer service value
Answer, screen, and direct phone calls as necessary
Manage company social media accounts (Facebook, Instagram, LinkedIn) by creating/posting content, engaging followers, and promoting listings, events, and our community-focused brand
Promote the company through active involvement in local community groups, events, and social media pages to build relationships and visibility
Plan and coordinate office meetings, team events, outings, and training sessions
Maintain and update the company website with current, accurate content
Troubleshoot minor technical issues (e.g., printers, software, connectivity) or escalate appropriately
Organize and maintain digital documents and filing systems
Assist agents with modifying contracts, leases, addendums, and other residential/commercial documents
Conduct research and gather information (e.g., market data, vendor details)
Manage office supplies, promotional merchandise, and branded materials inventory and ordering
Oversee lockbox inventory/distribution for residential agents, maintaining security and tracking
Coordinate sign inventory, ordering, storage, and placement/removal for residential and commercial listings
Perform additional administrative tasks to support brokerage and property management teams

Required

Experience in office management, administrative support, marketing, or customer-facing roles preferred
Proficiency in Microsoft Office Suite (Work, Excel, Outlook, etc.); familiarity with real estate tools (MLS, AdobeSign, Dotloop) is a plus
Exceptional organizational, multitasking, and attention-to-detail skills
Outstanding verbal/written communication and professional demeanor
Social media experience with business account management and content creation
Basic tech troubleshooting ability and willingness to learn new systems
Commitment to confidentiality, especially with sensitive client and transaction information
Self-motivated, positive team player who embraces personal excellence
Proficiency in multi-line phone systems
Understanding, or willingness to learn, key real estate terms and concepts, as well as legal and regulatory requirements relevant to real estate transactions
