The role involves managing executive calendars, coordinating schedules, and handling client and vendor communications to improve operational efficiency.

Responsibilities
Manage executive calendars, schedule client and vendor meetings across U.S. time zones, and prepare meeting agendas and follow-ups
Own email triage and professional correspondence on behalf of leadership—prioritize action items and summarize key follow-ups
Coordinate project logistics: collect documents, track deliverables, and liaise with field teams, vendors, and subcontractors to ensure on-time completion
Handle expense reporting and basic bookkeeping tasks: compile receipts, submit expense reports, and coordinate with accounting for reimbursements
Maintain CRM and project tracking systems: update records, log client interactions, and produce routine status reports and dashboards
Support ad-hoc operational projects—process improvement, vendor onboarding, and documentation standardization—to reduce executive administrative burden
