Procurement / Purchasing Specialist

Jodi Fleming Design is a full-service interior design firm based in Newport Beach, California, specializing in all aspects of residential design. They are seeking an experienced Procurement / Purchasing Specialist to manage product ordering and logistics, ensuring projects are executed on schedule and at a high level.

Responsibilities

Create, process, and manage purchase orders for furniture, lighting, textiles, rugs, art, and materials
Track orders from placement through delivery; proactively manage lead times and delays
Coordinate with vendors, showrooms, sales reps, and freight companies
Ensure all items arrive on time, damage-free, and exactly as specified
Inspect and document condition of goods; handle claims, returns, and replacements
Work closely with designers to confirm specifications and selections
Prepare accurate project estimates based on approved selections
Organize and coordinate installations, deliveries, and white-glove services
Maintain detailed records and project logs using Google applications
Anticipate problems and resolve issues quickly in a fast-paced environment

Required

Minimum 2+ years of procurement/purchasing experience in interior design, furniture, or related industry
Strong technical skills; proficient in Google Workspace (Sheets, Docs, Drive, email)
Experience creating purchase orders and tracking multiple projects simultaneously
Highly organized, detail-oriented, and deadline-driven
Strong communication skills with vendors, sales reps, and internal teams
Ability to problem-solve under pressure and adapt quickly
Comfortable working in a fast-paced, deadline-driven studio environment

Preferred

Familiarity with high-end vendors, custom furniture, and trade accounts
Experience coordinating installations and logistics
Understanding of pricing, margins, and estimating
