Administrative Support Specialist
Vrakas CPAs + Advisors is seeking a dynamic Administrative Support Specialist to join their team at Vrakas/Blum Computer Consulting. The role involves providing administrative support to ensure efficient operations, managing CRM data, and assisting with billing and project management tasks.

Responsibilities
Provide administrative support to the VBCC team to ensure smooth, efficient daily operations
Perform accurate data entry, maintain organized records and CRM data, and handle confidential information with discretion
Manage CRM for new clients and prospects, including updates, audits, and data accuracy tracking
Prepare and finalize documents, reports, WIP sheets, budget-to-actual reports, and maintenance renewals
Support billing processes, including invoicing, collections on outstanding AR, tracking renewals, and entering Sage commission data
Assist the consulting team with proposals, engagement letters, gathering quotes, coordinating out‑of‑office coverage, and overall internal support
Order software, coordinate vendor renewals, and support ongoing administrative processes related to product licensing
Provide professional written and verbal communication to clients and vendors
Support project management tasks, closed‑case follow‑ups, and additional projects as they arise
Contribute to marketing‑related tasks, including webinar assistance, light editing for YouTube, and user conference planning
Utilize Microsoft Office Suite along with administrative and accounting software (Smartsheet, CRM systems) to improve workflow efficiency
Assist with answering phones and general office support as needed
Qualification
Required
High school diploma or equivalent required; prior office assistant experience preferred
Proven experience in an administrative support role, preferably within a professional services or consulting environment
Expert knowledge of Microsoft Office Suite with advanced proficiency in Word and Excel; PowerPoint experience is a plus
Proficient knowledge with CRM technology and software applications; experience with Sage 100 and Smartsheet is highly desirable
Excellent organizational skills, strong attention to detail, and dependable, accurate data entry
Exceptional written and verbal communication skills
Ability to adapt quickly, ask questions, and problem-solve independently while also thriving in a collaborative team environment
Consistent dependability, integrity, and a positive, service-oriented mindset
Work in the Brookfield office daily (8:00 AM – 4:30 PM schedule)
