They are seeking a highly organized and proactive Executive Assistant to provide administrative and operational support to a financial advisor, focusing on time management and task execution to ensure smooth daily operations.

Responsibilities
Monitor and triage the advisor’s inbox, prioritizing and flagging time-sensitive items
Draft and send routine client communications as directed
Organize email folders and maintain inbox hygiene
Escalate client-related or urgent matters to the Client Associate as needed
Manage the advisor’s calendar, including scheduling client meetings, internal meetings, and personal appointments as appropriate
Coordinate logistics for client meetings (virtual or in-person)
Confirm meetings, manage reschedules, and send reminders
Assist with meeting preparation (agenda creation, document coordination, follow-ups)
Track action items and ensure tasks are completed on time
Maintain internal task lists and workflows
Handle general administrative requests as they arise
Coordinate non-advisory client touchpoints (birthday cards, holiday communications, meeting reminders)
Assist with client follow-up communications that do not require deep relationship knowledge
Support consistency in client experience through timely communication
Follow established administrative processes and documentation
Assist in creating, refining, and documenting workflows to improve efficiency
Ensure repeatable tasks are executed consistently and accurately
Qualification
Required
Prior experience as an Executive Assistant, Administrative Assistant, or Virtual Assistant
Strong organizational and time-management skills
Ability to manage multiple tasks with competing priorities
High attention to detail and follow-through
Comfortable working remotely and independently
Clear, professional written communication skills
Tech-savvy with the ability to learn new systems quickly
