Accounts Receivable Administrator
Northwest Mechanical Group is a family-owned business based in Canby, Oregon, specializing in commercial HVAC, refrigeration, and plumbing services. They are seeking an Accounts Receivable Administrator who will oversee job-based billing, ensuring accuracy and consistency while managing invoicing and collections to support revenue flow.

Responsibilities
Prepare and issue accurate job-based invoices for T&M work, quoted projects, and maintenance agreements
Review job costing, contracts, and change orders to ensure every invoice reflects completed work correctly
Partner with project managers and service teams to validate billable work before invoices go out
Submit invoices through customer portals and systems in alignment with contract terms
Conduct monthly unbilled job reviews to ensure no completed work is left unbilled
Generate open invoice and billing status reports to support cash flow visibility
Post customer payments (checks, EFTs, credit cards) accurately and on time
Research and resolve discrepancies quickly and thoroughly
Maintain clean, organized documentation for audit and reporting purposes
Monitor aging reports and identify past-due accounts
Communicate professionally with customers to resolve outstanding balances
Track collection activity and maintain accurate records
Provide backup administrative support when needed
Collaborate across departments to keep billing and service operations aligned
Assist with special projects that support the finance team and company growth
Qualification
Required
Associate's degree in Accounting, Finance, or related field (or equivalent hands-on experience)
2+ years of accounting or job-cost–based billing experience
Solid understanding of project-based billing and job costing
Strong Excel skills (spreadsheets, tables, formulas)
Experience with accounting software such as QuickBooks
Preferred
Experience in HVAC, construction, or service-based industries strongly preferred
