Responsibilities
Documentation Management: Maintain organized and accessible project files, service requests, and field reports
Service Tracking: Pull and review original service and field work reports to monitor progress against the initial scope of work or service request
Data Entry & SAP Support: Enter, update, and track service information in SAP or other enterprise systems, ensuring accuracy and timely closure of service orders
Invoice & Reporting Assistance: Verify that completed services align with original requests and invoice quantities prior to billing; assist with preparing project and financial reports
Communication & Coordination: Act as a point of contact between field operations, project managers, and accounting to resolve discrepancies or information gaps
Process Improvement: Identify and suggest opportunities to streamline administrative workflows and enhance efficiency in project tracking and reporting
Compliance & Recordkeeping: Ensure documentation and service records comply with company standards, safety requirements, and audit guidelines
Qualification
Required
High school diploma or equivalent required
Minimum of 2 years of administrative or office support experience, preferably within the utilities, energy, or construction industry
Proficient in Microsoft Office Suite (Excel, Word, Outlook)
Strong organizational skills with exceptional attention to detail
Excellent verbal and written communication abilities
Ability to manage multiple priorities in a fast-paced environment
Preferred
Associate's or Bachelor's degree preferred
Experience using SAP or other enterprise resource planning (ERP) systems is highly preferred
