Human Resources Coordinator
Robbins Schwartz is seeking a highly organized, detail-oriented HR Coordinator to support the firm’s Human Resources department, with a strong focus on recruiting. This role will coordinate and manage a wide range of recruiting and HR-related activities, including candidate communication, interview scheduling, onboarding coordination, and general HR operations support.
Responsibilities
Coordinate recruiting communications and respond to candidate inquiries in a timely and professional manner
Schedule interviews, manage calendars, and coordinate logistics with candidates and hiring managers
Conduct initial outreach to potential candidates, including sourcing through job boards, LinkedIn, and other platforms
Coordinate job postings on various job boards, the firm website, and professional networks
Track candidate pipelines and maintain accurate and up-to-date recruiting records
Prepare and send rejection letters and follow-up communications
Support candidate screening efforts as needed (e.g., resume review, distributing assessments)
Coordinate onboarding activities, including preparing new hire materials, scheduling orientation, and collecting required documentation
Maintain employee files (digital and physical) and ensure records are accurate and current
Prepare HR correspondence, forms, and internal communications
Assist with benefits administration tasks, including open enrollment materials and employee notices
Support HR reporting, spreadsheets, and tracking of firm metrics
Assist with policy updates, compliance initiatives, and annual HR projects as needed
Monitor and triage HR-related emails and phone calls, prioritizing and routing as appropriate
Coordinate calendars, meetings, and deadlines for HR and firm leadership
Prepare, edit, and organize documents, memos, and presentations
Maintain organized documentation systems for efficient access and retrieval
Assist with firm-wide communications and updates
Collaborate with administrative and operational staff to support overflow or special projects as needed
Qualification
Required
Bachelor's degree preferred
1–3 years of recruiting or HR experience preferred (law firm or professional services experience a plus)
Proficiency in Microsoft Office Suite, Adobe, and Outlook
Strong interpersonal and communication skills, both written and verbal
Highly organized with excellent attention to detail and time-management skills
Ability to maintain discretion and strict confidentiality
Professional, service-oriented approach with the ability to interact effectively with candidates, attorneys, and staff
Comfortable learning and adapting to new software and systems
Preferred
Experience with LinkedIn Recruiter, Indeed, or applicant-tracking systems preferred
