Plumbing and Water Clean up Office Manager

Roto-Rooter is a locally owned, established Plumbing and Water Restoration company seeking an Office Manager to support their Plumbing and Water Restoration divisions. The role involves coordinating daily operations, managing HR functions, and providing financial and compliance support to ensure smooth business operations.

Responsibilities

Coordinate daily office operations and schedule team meetings
Maintain office policies and employee records in compliance with company and state requirements
Handle healthcare and 401(k) enrollment, track attendance, vacation, and sick time
Process payroll accurately and on schedule
Support candidate screening, interviews, and onboarding
Lead new-hire orientations and serve as the primary point of contact for employee and office matters
Assist with job setup, documentation, and change orders
Manage permit applications and contractor licenses in multiple municipalities
Support plumbers and project managers with proposals, purchase orders, and project tracking
Update project management tools to ensure accurate, timely documentation
Process invoices, accounts payable/receivable, and collections
Prepare and submit customer invoices and monthly billing
Record customer payments and assist with financial reporting
Prepare and submit commercial permit applications
Research jurisdiction-specific permitting requirements to ensure compliance
Track progress from application through final approval
Handle phone and email communication in a professional, customer-focused manner
Perform data entry and other clerical tasks as needed
Crosstrain with other admin roles to provide backup support

Required

3–5 years of experience in Plumbing, Water Restoration/Mitigation, or Construction Office Administration
Minimum 2 years of management or supervisory experience overseeing administrative or office staff
Strong understanding of permitting, compliance, and job documentation
Proficient in Microsoft Office Suite and accounting/project software (Viewpoint, Sage, Foundation, or similar)
Excellent organization, multitasking, and communication skills
High attention to detail and accuracy in reporting
Self-motivated and capable of working independently in a fast-paced environment
