Responsibilities
Own the operational setup and ongoing optimization of Asana for the AI Practice. Maintain standardized project templates, task structures, milestone frameworks, and dashboards
Partner with the Practice Head and Ops to continuously improve templates and ensure they reflect evolving delivery best practices
Ensure every engagement is set up cleanly and consistently from day one so execution is scalable and trackable
For each client engagement, gather the initial roadmap inputs from the AI Strategist and transform them into a detailed, sequenced delivery roadmap with owners, timelines, milestones, and dependencies. Ensure the roadmap is realistic, profitable, and achievable
Ensure every engagement maintains both: a next-up list (near-term projects) and a backlog list (longer-term projects)
Ensure client roadmaps are continuously updated and structured as required across all engagements
Bring technical fluency to planning and execution—understanding how AI assistants/agents get built and where projects typically break (data access, authentication, tool limitations, prompt behavior, integration readiness, QA/UAT gaps, release readiness)
Use this knowledge to:
Sequence work correctly (Strategy → Build → Engineering → QA → Launch)
Surface blockers early
Pressure-test timelines and effort assumptions
Prevent avoidable rework due to missing inputs or unclear dependencies
Run the internal weekly meetings for each client engagement
Drive agenda, track action items, and escalate issues proactively
Ensure these meetings result in clear weekly execution direction, fast resolution of blockers, and team’s understanding of current work and future milestones that need to be hit
Monitor for off-roadmap asks and scope drift using meeting summaries, Asana updates, and consultant feedback. Flag to the engagement lead and Practice Lead any requests that are outside scope, lack clear ROI, or threaten timeline/margin. Maintain lightweight change-control discipline to protect delivery outcomes and profitability
The Program Manager actively works to keep engagements’ pacing ahead of plan when possible by:
Identifying when consultants have extra time/capacity and where work can be accelerated
Ensuring overages are flagged, discussed, and tied back to an agreed approach (change order, de-scope, or reprioritization)
Escalating weekly to the Practice Lead when margin risk or acceleration opportunities exist
Partner with Ops and Practice Head on reporting infrastructure (dashboards, standard reporting views) for the AI Practice's book
Contribute to and produce weekly reporting summaries including: delivery health, roadmap progress, risks, margin pacing, scope drift, and key milestones
Qualification
Required
Technical Delivery Fluency: Demonstrated ability to understand AI/Agent build processes (LLM prompts, low-code patterns, dependencies) to pressure-test feasibility, anticipate technical risks, and ensure correct sequencing (Strategy → Build → Engineering → QA → Launch)
Operational System Ownership: Proven experience in designing, implementing, and optimizing a scalable delivery system across multiple engagements, including ownership of project management tools (e.g., Asana templates, dashboards, and reporting standards)
Detailed Roadmap Discipline: Expert-level skill in transforming high-level strategy into detailed, sequenced, and realistic execution roadmaps, including maintaining and enforcing accurate Next Up and Backlog compliance
Financial and Pacing Management: Strong business acumen in actively managing engagement economics, including margin oversight, pacing management, and identifying acceleration opportunities or overage risks
Scope Control and Governance: Ability to detect and flag scope drift/off-roadmap asks early, and maintain lightweight change-control discipline to protect delivery outcomes and profitability
