Webinar Production Manager
Labroots is seeking a Webinar Production Manager to oversee all aspects of webinar delivery, providing maternity leave coverage with potential for a permanent role. The position involves managing technical logistics, coordinating with presenters and clients, and ensuring engaging content for attendees.

Responsibilities
Collaborate with clients and stakeholders to define event goals, objectives, and target audiences
Develop and maintain detailed project briefs including timelines, agendas, and scripts that align with contract scope
Establish vision for feature implementation, engagement opportunities, and post-event success metrics
Lead kick-off calls with clients and internal teams (production, creative, marketing, development) using structured agendas
Provide clear documentation, processes, and timelines to guide clients through content delivery, reviews, and approvals
Set up and maintain project management tools (Asana, SharePoint) for team and client collaboration
Create and manage virtual event microsites and registration pages
Coordinate speaker recruitment, briefing, and rehearsal schedules
Oversee production of pre-recorded video content, presentations, and interactive elements
Manage technical aspects of live streaming and event coverage
Moderate webinar sessions on camera, facilitating Q&A and audience engagement
Develop engaging experiences using interactive features like polls and Q&A sessions
Source and manage external vendors for event services as needed
Ensure accessibility features are implemented for all attendees
Demonstrate fluency in the Labroots CMS and webcasting platforms, providing guidance and options throughout production
Manage supporting staff assigned to virtual events
Coordinate with Creative Services, Development, and Marketing teams to ensure timely delivery of all event components
Perform event audits and pre/post-event quality control
Oversee live event operations, troubleshoot technical issues, and ensure seamless execution
Prepare comprehensive post-event reports including metrics, technical performance, and attendee feedback
Attend internal meetings to provide updates and share insights for continuous improvement
Support the broader Production Team as needed
Qualification
Required
Associate degree, Bachelor's degree, industry certifications, or equivalent experience
5+ years of experience in event and staff management
2+ years of webinar/webcasting experience
1+ years of virtual event management within a virtual event platform or similar environment
Proven experience leading complex projects with multiple stakeholders and tight deadlines
Comfort and professionalism appearing on camera as a webinar moderator
Strong understanding of webinar/virtual event platforms, live streaming technology, and basic audio/visual production
Excellent written and verbal communication skills
Experience with: Asana, Microsoft Suite (Outlook, Excel, Word, PowerPoint, Teams), Adobe Creative Cloud (Premiere Pro, Photoshop)
Preferred
Strategic/analytical thinker who can map attendee journeys across touchpoints (registration, engagement, content consumption)
Engagement-focused with knowledge of behavioral psychology to increase participation
Data-driven approach with understanding of ROI and A/B testing methodologies
Creative thinking with ability to develop innovative virtual event concepts and leverage instructional design approaches
Exceptional organizational skills with meticulous attention to detail
Experience collaborating across organizations, with executive leadership, and external agencies
Ability to utilize AI tools for planning and management
Knowledge of CMS and webcasting platform software
Video editing experience
Familiarity with: Slack, SharePoint, MailChimp, Canva
Experience with webinar platforms such as ON24, Notified, Webinar.net, Zoom Webinars
Experience with virtual event platforms such as vFairs, 6Connex, Spatial.chat, Webex Events, Bizzabo, EventMobi, Airmeet, RingCentral, or similar is a plus
