Administrative Assistant (contract)

Responsibilities
Own end-to-end travel arrangements for two managers, ensuring compliance with travel and expense policies
Prepare, submit, and track expense reports, proactively resolving issues and ensuring timely approvals
Serve as the go-to resource for travel policy guidance, corporate card usage, and reimbursement processes
Respond to incoming communications regarding calendars, scheduling needs, and administrative requests
Collaborate with internal and external stakeholders to deliver seamless event experiences
Provide backup support to the local Executive Assistant and broader administrative team
Build strong relationships with executive-level and administrative staff, fostering a culture of collaboration and trust
Demonstrate readiness and aptitude for complex calendar management across multiple time zones
Anticipate scheduling needs, resolve conflicts, and optimize leaders' time effectively
Attend leadership meetings and provide administrative support as needed
Exercise sound judgment, tact, diplomacy, integrity, confidentiality, and professionalism in all communications and interactions
Qualification
Required
2-4 years of experience in executive administration or similar high-performance role
Proven track record managing travel, expenses, and event logistics for senior leaders
Experience supporting multiple executives in fast-paced environments
Demonstrated history of stable employment without frequent job changes
Advanced proficiency in Microsoft Office suite including Outlook, Excel, Word, PowerPoint, and SharePoint
Expert-level travel and logistics management capabilities
Advanced calendar and time management across multiple time zones
Strong interpersonal, negotiation, and customer service skills
Process-driven approach with exceptional organizational abilities
Meticulous attention to detail and accuracy
Ability to manage competing priorities and multiple executives simultaneously
High integrity and ability to handle sensitive information appropriately
Excellent written and verbal communication skills
Proactive problem-solving and critical thinking abilities
