Administrative Services Specialist II (Public Works)

Shelby County Crime Victims & Rape Crisis Center is seeking an Administrative Services Specialist II to support the Division of Public Works. The role involves planning, coordinating administrative activities, and providing high-level support to the Division Director and Management, including financial and human resources functions.

Responsibilities

Provides high-level administrative support of a confidential nature to the Division Director and Management in the Director’s Office
Plans, schedules, and coordinates the activities of the Public Works Division Office
Greets internal and external customers by telephone or in-person to answer questions concerning departmental policies, procedures, and work functions
Schedules and prepare presentations for and attends board meetings as record keeper and maintain notes of meetings
Assists in servicing the division with financial and purchasing functions, including but not limited to program audits, requisitioning goods and services, accounts payable, annual budgets, policy compliance, contracts, transfers, PCB adjustments, and cost center changes
Conducts all program audits for financial and operational functions in the division requiring an understanding of Generally Accepted Accounting Principles
Examines and verifies financial statements for accuracy and legal compliance to monitor necessary division policy changes
Assists in servicing the division with human resources functions, including, but not limited to, payroll, OJI claims, Employee Information Change forms as needed
Obtains data from various sources to prepare and compile standard reports
Maintains records of Organizational changes throughout the Division
Performs other related duties as required or directed

Required

One (1) year of experience performing administrative functions in accounting, procurement, grants management, and/or auditing, or a closely related field
Bachelor's degree from an accredited college or university in accounting, finance, business administration, or related field
An equivalent combination of related education and/or experience
Ability to handle pressure in a fast-paced environment
Ability to work professionally with the various department staff within the Division of Public Works, other county departments, and the office of Elected Officials
Knowledge of the rules and regulations governing general government-related financial operations and the skills to apply them
Proficient in Microsoft Office (Excel, Access, Word, Outlook, PowerPoint) and database software systems
Thorough knowledge and skills necessary to analyze data and facts, identify problems, make conclusions, and recommend or take appropriate action
Excellent written and verbal communication skills, practical interpersonal skills, and multi-tasking ability
Able to communicate effectively with internal and external contacts
Must be detail-oriented with strong organizational, analytical, and problem-solving skills
