Middle School Administrative Assistant

Oregon Episcopal School is seeking a part-time Middle School Administrative Assistant to provide administrative support to the Middle School administration, faculty, students, and families. Responsibilities

Serve as receptionist and first line of contact for Middle School students, faculty, and parents
Provide first aid and dispense over-the-counter medications to students. Update and track student health records in Magnus
Coordinate with school nurse and other support staff and parents when necessary, regarding student health issues
Manage Middle School email and phone communication to families
Maintain and update bi-weekly Middle School newsletter, OES Middle School online page, and calendars
Help maintain appointment calendar for MS division head
Coordinate events, set up, and catering in the Middle School for Parent Partnership, class events, and Promotion
Update student attendance information in digital platform for each class and by day
Manage tracking of student emergency contact forms, health forms, and medications for student records and twice yearly overnights and field trips including coordination with school nurse and health director
Ensure office materials and supplies are maintained and in working order
Coordinate snacks: daily management and monthly ordering with Bon Appetit
Support substitute teachers
Help maintain and update student files
Assist with admissions visit days scheduling
Review and process reimbursement requests
Reconcile monthly credit card charges and monitor monthly expense reports
Attend faculty meetings as needed
Provide general support to administrative assistant as needed

Required

High school diploma or equivalent plus training in administrative practices
Experience working in office administration or equivalent circumstances
General digital literacy, strong database, word processing skills, Google Drive and other web based applications as appropriate to job duties, ability to adapt and learn as digital tools evolve
Intercultural competence, ability to work with sensitivity and effectiveness with students, families, colleagues of diverse backgrounds and identities, demonstrated commitment to equity and inclusion for people of all backgrounds and identities
Ability to pass and criminal background check
High emotional intelligence is essential to support middle school students, their families, and school colleagues
Verbal and written communication skills - ability to draft professional business correspondence, professional phone demeanor
Organizational skills; ability to manage competing deadlines and prioritize work appropriately with accuracy and attention to detail
Interpersonal skills, ability to maintain collegial relationships with colleagues, welcoming demeanor when dealing with students, families, and colleagues
Office environment requires ability to sit at computer and keyboard for substantial periods
Ability to lift up to 20 pounds on an occasional basis
Ability to move about the OES campus
Ability to see computer screen, hear, and speak to perform essential job duties

Preferred

Post-secondary education
Experience performing administrative support in school setting
