Responsibilities
Managing office inventory by monitoring supply levels, restocking materials, and maintaining an organized supply room
Answers, screens, and routes incoming telephone calls; assists with copiers, printers, and other office equipment; and coordinates maintenance or troubleshoots minor technical issues as needed
General administrative tasks, including photocopying, scanning, document preparation, and maintaining internal contact lists, directories, and other organizational resources
Assists with travel and expense-related processes, including making travel arrangements such as reserving flights, lodging, and rental cars, and supporting travel reimbursements, vendor payments, and expense processing
Maintains accurate electronic and hard copy records of receipts, invoices, training logs, and other office and fiscal documents in accordance with AGO and OFM guidelines and assists with records management and archiving of case files to ensure proper retention and disposition practices
Supports vehicle records, mileage logs, maintenance schedules, and the Critical Events Calendar, participates in recurring reporting tasks and office projects, and performs other related duties as assigned to support the overall efficiency and effectiveness of the division
Legal support duties include filing documents with courts, obtaining attorney signatures, processing incoming mail and email, and delivering documents or checks to courts, fiscal offices, or other agencies
Supports case management by opening and closing cases, saving and organizing documents, creating and maintaining electronic and physical folder structures, and verifying case information in the case management system (CMS)
Organizes and maintains legal documents, evidence, and exhibits to ensure accuracy, accessibility, and compliance with established procedures and deadlines
Qualification
Required
High School diploma or equivalent and two years of clerical experience including a minimum of six months of experience in a legal office environment
One year of legal office experience
A combination of two years of college education and/or relevant experience
A two-year degree in Legal Secretary Studies, Paralegal studies or related field of study
