Licensing Specialist
LanceSoft, Inc. is seeking a Licensing Specialist to support the Health Inspection Program (HIP) by conducting licensing activities for new and renewal licenses. The role involves collaborating with various stakeholders to ensure the timely and accurate processing of licenses across a range of regulated facilities and programs.
Responsibilities
Conduct all licensing functions for new and renewal licenses, including restaurants, take-out establishments, school and jail kitchens, catering and commissary operations, senior meal programs, mobile food vendors, hotels, B&Bs, public pools and spas, youth and recreational camps, campgrounds, mass gatherings, tobacco licensing, compressed air, body art (tattooing, piercing, electrology, micropigmentation), and related programs
Assist in processing, reviewing, and issuing licenses to ensure timely and accurate completion
Provide telephone and walk-in coverage for a high-volume public licensing program
Respond to applicant and public inquiries regarding licensing requirements and application status
Review applications for completeness, including required documentation such as water and septic approvals, Certified Food Protection Manager (CFPM), Bloodborne Pathogens (BBP), Certified Pool Operator (CPO) certificates, menus, kitchen diagrams, and applicable fees
Return incomplete applications and coordinate follow-up with applicants
Refer applications to the Drinking Water Program when water approval is required
Enter and maintain application data and status throughout the licensing lifecycle
Communicate with compliance specialists and health inspectors to ensure smooth application processing and appropriate license issuance
Monitor, review, and follow up on multiple email inboxes (state, HIP Licensing, Tobacco Licensing)
Sort and process daily mail in accordance with established procedures
Prepare and maintain financial records, including daily deposits from in-office and online renewals
Reconcile funds and perform calculations for financial reporting
Generate weekly renewal notices and coordinate mailing with Central Services
Use Smartsheet to document daily work activities, phone follow-ups, assignments, research needs, and new applications
Maintain accurate records in accordance with policies, procedures, and regulatory requirements
Qualification
Required
Knowledge of modern office practices and administrative procedures
Ability to independently evaluate information and make sound decisions following established guidelines
Proficiency in using computers and office applications
Ability to process and reconcile fees in accordance with standard financial procedures
Ability to interpret and apply applicable laws, rules, regulations, policies, and procedures
Strong attention to detail with the ability to identify errors or discrepancies
Effective written and verbal communication skills
Ability to maintain positive and productive working relationships with internal and external stakeholders
Training, education, or experience in office or administrative support work demonstrating competency in performing complex, varied office support tasks, and independent judgment in determining appropriate processes and actions
