Responsibilities
Manage all aspects of the accounts payable function, including invoice processing, vendor maintenance, disbursements, ACH, wire transfers, paper checks, and 1099 reporting
Oversee AP staff and workflows to ensure accurate, timely, and compliant processing in a high-volume environment
Maintain accurate records of payments to suppliers and resolve vendor inquiries and discrepancies
Ensure adherence to company policies, internal controls, and Financial Integrity standards
Review and approve invoices, payment runs, and exception items
Manage accounts receivable operations, including billing, cash application, customer account maintenance, and collections
Monitor customer balances, aging reports, and collection efforts; escalate issues as needed
Partner with Sales, Operations, and Store leadership to resolve billing and collection issues
Ensure timely and accurate posting of cash receipts and credits
Support monthly, quarterly, and annual close processes related to AP and AR
Ensure proper cut-offs, accruals, and reconciliations for payables and receivables
Assist with maintenance of the general ledger related to AP and AR activity
Prepare schedules and reports for management, auditors, and tax reporting
Select, hire, train, coach, and evaluate AP and AR staff across all five company banners
Provide consistent leadership, guidance, and standardization to AP and AR teams supporting multiple banners and operating units
Establish clear performance expectations and provide ongoing feedback
Foster a collaborative, accountable, and service-oriented team environment
Allocate workload and manage priorities to meet strict deadlines
Develop, implement, and maintain systems, procedures, and policies for AP and AR functions
Identify opportunities to streamline processes, improve controls, and increase efficiency
Partner with IT and Finance leadership on ERP enhancements and system implementations
Ensure data integrity across financial systems
Oversee tax-related AP processes, including 1099 preparation and reporting
Act as a liaison with external auditors, tax advisors, banks, and government agencies as needed
Support audit requests and ensure accurate documentation is maintained
Assist in the preparation of operating and departmental budgets related to AP and AR
Monitor expenditures and receivables against budget and report variances
Provide accounting support to operations, project managers, and internal stakeholders
Respond to financial questions and support business decision-making
Qualification
Required
Bachelor's degree in Accounting, Finance, or related field required
Minimum 5–7 years of progressive accounting experience, including AP and AR oversight
Prior supervisory or managerial experience required
Strong knowledge of U.S. GAAP and internal accounting controls
Advanced proficiency in Microsoft Excel and MS Office Suite
Strong analytical, problem-solving, and decision-making skills
Excellent verbal and written communication skills
Ability to manage multiple priorities and work effectively under strict deadlines
High level of integrity, attention to detail, and accountability
Preferred
CPA or MBA preferred
Experience in a multi-location or high-volume environment preferred
Experience with ERP systems; retail or distribution systems preferred
