Chief Administrative Officer

Heartland Human Care Services is seeking a Chief Administrative Officer (CAO) to lead their operational infrastructure. The CAO will oversee administrative functions including finance, operations, human resources, and IT, ensuring alignment with the organization's mission and strategic goals.

Responsibilities

Serve as a member of the executive team, collaborating with the CEVO and board on strategy, annual operating plans, and organizational performance
Provide leadership and oversight of core administrative functions, ensuring alignment of people, processes, technology, and finances with mission-goals
Develop and implement operational frameworks, metrics, workflows, systems and policies that enhance organizational effectiveness and scalability
Act as a key advisor on change management, organizational design, cultural initiatives (especially around dignity and belonging)
Lead the development, management, and oversight of the organization’s annual and multiyear budgets; collaborate with the Senior Director of Finance.in monitoring and forecasting budgets in program and administrative areas
Ensure robust internal controls, audit readiness, financial risk management, timely financial reporting. provide monthly and quarterly financial reports
Oversee resource allocation across support functions to maximize efficiency and mission impact
Evaluate and ensure HHCS’ financial performance and make recommendations based on accepted standards
Direct responsibility (through HR Directors) for talent acquisition, onboarding, retention, performance management, learning & development, employee labor relations, compensation/benefits strategy, payroll
Shape organizational culture in accordance with values, promote equity & inclusion, lead organizational development initiatives
Oversee compliance with employment laws, policies, and risk mitigation (including ensuring pay equity, benefits competitiveness, etc.)
Oversee information technology strategy, digital infrastructure, data management, and systems that support mission delivery and administration
Oversee facilities, physical assets, contracts, insurance/risk management, vendor relationships, event logistics and administrative services
Manage compliance, risk, and safety and security support
Champion process improvement
In partnership with the development/fundraising, programs, and other teams, ensure that administrative infrastructure enables programmatic growth, new initiatives, scalability, and sustainability
Represent the organization with vendors, partners, external stakeholders on operational/administrative matters as needed

Required

Bachelor's degree required
Minimum of 10-15 years (depending on size) of progressively responsible leadership experience in administration/operations preferably within a nonprofit or mission-driven organization
Demonstrated experience managing multiple administrative/disciplines (finance, HR, IT, operations) and leading cross-functional teams
Strong strategic thinking along with operational execution capability: building and refining systems, workflows, metrics, performance management
Financial acumen: budgeting, internal controls, audit preparation, risk management
General understanding of IT systems as it relates to operations and finance
Proficiency with Microsoft Office Suite and working knowledge of Salesforce.com
Knowledgeable and experienced with protocols and implementation of workplace safety, physical security and other risk management practices and procedures for staff and assets
Exceptional communication skills with the ability to manage up and down and across companies as well as with external stakeholders and board members
Results-oriented - exceeding goals and bottom-line orientation; the ability to balance the delivery of programs against the realities of a budget; and strong problem solving and project management
Proven success with team development and creating a healthy work environment
Action-oriented – enjoys working hard and looks for challenges; able to act and react as necessary, even if limited information is available; not afraid to take charge of a situation; can overcome resistance to leadership and take unpopular stands when necessary
Success in change management and maintaining stability during times of growth, ambiguity, and uncertainty
Excellent interpersonal, communication and leadership skills; ability to build partnerships across teams and with board members and external stakeholders
Commitment to dignity and belonging and mission-driven culture and operations

Preferred

Master's in Business Administration, Public Administration, Nonprofit Management or related preferred
Certification in Lean Six Sigma preferred
