Associate Administrative Coordinator (Quality and Population Management)

Responsibilities

Provide administrative support to teams within the department, serving as a central point of coordination
Manage and triage inquiries received through various channels, including email, ticketing systems, phone, and mail
Support project-based work through scheduling, coordination, documentation, note‑taking, tracking deliverables, and organizing project materials
Maintain departmental documentation, including onboarding materials, workflows, processes, and training resources
Coordinate meetings, appointments, and events, ensuring logistics are organized and accurate
Handle calls, correspondence, and general communications with staff, partners, and external parties
Serve as the first point of contact for departmental processes related to grievances, incident reporting coordination, and records request support
Maintain organized filing systems—both electronic and physical—to support efficient retrieval and recordkeeping
Assist with preparing reports, presentations, forms, and other organizational documents
Manage updates to department on company website or shared platforms to ensure forms, workflows, FAQs, and training materials remain current and compliant
Support the administration of recurring departmental surveys, including development, distribution, data entry, and tracking
Assist with organizational credentialing activities, audit preparation, site review readiness, and ongoing compliance needs
Perform accurate data entry and maintain tracking systems for projects, surveys, and departmental activities
Provide cross-departmental administrative support as needed
Ensure work adheres to organizational procedures, documentation standards, and compliance requirements
Perform additional duties as assigned
Comply with laws, regulations, policies, and procedures under which the program and company operates
Assist in crisis situations as appropriate
Respect and honor client rights and responsibilities and demonstrate professional boundaries and ethics
Understand safety regulations and evacuation procedures; participate in regular safety drills in compliance with program policies and procedures
Complete assigned employee training in compliance with program and company requirements
Provide guidance, support, and training to other staff in alignment with company mission and values
Participate in all scheduled staff meetings, supervision sessions, and other departmental and company meetings

Required

High school diploma, GED, or equivalent is required
A minimum one-year relevant experience in a healthcare environment is required
Familiarity with terminology and language used in healthcare settings
Strong customer service, interpersonal, and organizational skills
Strong written and verbal communication
Ability to work with frequent interruptions
Strong time management and prioritization skills
Operate computer hardware and software at a level needed to effectively perform job functions
Word processing and Excel skills, accurate typing and data entry skills
Must have the ability to travel to multiple locations throughout the Portland Metro area

Preferred

College coursework is preferred
Knowledge of Oregon Administrative Rules preferred
