Administrative Specialist

Responsibilities
Scanning, routing and linking documents (electronic and hardcopies) into the BER electronic Perceptive Content file system as needed by the Section Chief, Unit Managers, and project managers by following the established guidelines and rules
Understand and follow the Bureau and Sections' filing systems
Scans documents, link them to the Perceptive Content system, and routes for internal and public access
Performs QA/QC on entries for maximum accuracy
All documents are scanned and reviewed to ensure they are readable, rotated correctly, in color when needed, sized, link the documents to the correct ISL database project code, select compatible file category, select the applicable document type, enter document date, and manually enter the document description within the constraints of the Standard Descriptions workbook
Verify all files were returned and electronic copy matches the hard copies that were processed
Save and link scanned documents into the Perceptive Content system
Process documents for KORA requests by scanning and linking material requested into the electronic Perceptive Content file system, saving files, labeling and sorting documents into folders, and preparing documents in the media format requested
Serves as the Dry-Cleaning Program Facility Registration Coordinator and oversees the annual registration for active dry cleaning facilities including notification of the annual registration renewal period; assisting facilities with navigating the annual registration process; quality check submitted registration data; manually input registration data from paper registration forms; receive and process payment of the registration fees; and issuance of the registration certificate
Assists in drafting letters and other documents for the Dry-Cleaning Unit Manager
Qualification
Required
High School, GED
Valid Driver's License - Incumbent is required to have and maintain a valid driver's license when operating a state vehicle, a private vehicle, or a rental vehicle for the benefit of the State
Two years' experience in general office, clerical or administrative support work. Education may be substituted for experience as determined relevant by the agency
Kansas Tax Clearance Certificate: A valid Kansas Tax Clearance Certificate is a condition of employment for all employees of the State of Kansas
Preferred
Four years of experience Business Administrative Technology
Associate degree - Business Technology
Coursework in Business Technology
Word, Excel, PowerPoint, Access
Proofreading, editing, attention to detail
Customer Service: Positive interpersonal skills to screen/refer calls, provide info
Ability to work a complicated computer interface process across agency servers and internet
Paper and Electronic Filing: Knowledge of filing systems
Mail: Sort incoming and prepare outgoing mail
Experience in office procedures, functions and clerical support
Experience with database entry, and retrieval
Experience with electronic document imaging systems
