Responsibilities
Own the day-to-day functioning of the physical office to ensure it is organized, stocked, and client-ready at all times
Manage office supplies, equipment, vendor relationships, and maintenance requests
Coordinate office access, keys, technology setup, and workspace organization
Ensure the office reflects The KN Team’s brand standards: polished, calm, and professional
Support the Director of Operations with administrative execution and task follow-through
Assist with internal scheduling, calendar coordination, and meeting logistics
Prepare materials for meetings, trainings, and internal check-ins
Maintain internal documents, shared folders, and operational resources as directed
Execute assigned tasks within Microsoft Planner (or similar project management tools)
Track administrative workflows and flag bottlenecks or gaps to the Director of Operations
Help ensure SOPs are followed consistently by supporting documentation and reminders
Assist with onboarding logistics for new hires, interns, or assistants
Serve as a reliable point of contact for office-related questions and logistics
Communicate clearly, calmly, and professionally with team members and vendors
Escalate issues appropriately to the Director of Operations — never letting problems linger
Qualification
Required
2+ years of experience in office management, operations, or administrative support
NYS Real Estate License required
Proficiency with Google Workspace; familiarity with project management tools a plus
NYC-based and comfortable working fully in-office
Preferred
2+ years of experience in real estate, professional services, or fast-paced environments preferred
