Responsibilities

Format, proofread, and prepare RFP narratives, forms, and required attachments
Ensure documents meet RFP specifications, including file structure, naming conventions, and formatting
Maintain updated boilerplate language, organizational descriptions, and standard RFP materials
Draft initial sections of RFP responses using templates, past proposals, and organizational guidance
Convert bullet points, notes, and team input into clear, concise, and professional narrative responses
Track deadlines, required documents, and submission instructions for all active RFPs
Assist in maintaining the RFP calendar and sending reminders to internal stakeholders
Organize, label, and maintain RFP files and folders in Google Drive
Support internal logging and tracking of RFP submissions and outcomes
Request and collect required information from internal teams (Education, Curriculum, Partnership Success, Operations)
Gather updated company materials, service descriptions, staffing résumés/bios, and pricing tables
Assist in assembling required forms and attachments under the direction of the Coordinator
Support communication between departments regarding RFP needs, deadlines, and missing items
Assist in coordinating brief internal meetings related to proposal development
Follow up with team members on outstanding materials to ensure on-time submission
Maintain internal logs related to RFP progress, submission status, and outcomes
Assist with preparation of renewal documentation or follow-up materials required after submissions
Support updates to internal RFP trackers and shared documents

Required

Bachelor's degree required; fields such as English, Communications, Education, Public Policy, Business, or related areas are a plus
Strong proofreading, formatting, and document-editing skills
Excellent organizational skills with the ability to manage multiple deadlines
Proficiency in Google Workspace (Docs, Sheets, Drive); Salesforce experience is a plus but not required
Ability to work independently while collaborating effectively with a remote/hybrid team
Ability to draft clear, professional narrative text based on guidelines and reference materials
Ability to interpret RFP requirements and identify needed information for responses

Preferred

1+ years of experience in administrative support, project coordination, or structured document preparation (RFP experience preferred but not required)
Experience writing proposals, reports, or structured narrative content preferred
