Staff Accountant and Accounts Payable Specialist

Optimum EPC Contracting is one of New England’s foremost construction managers and general contractors with a broad portfolio of projects for utility scale solar, storage sector, fuel cell, microgrid infrastructure, and distributed energy. They are hiring a full-time Staff Accountant and Accounts Payable Specialist to maintain accounts payable functions and contribute to accurate monthly and quarterly closing processes.

Responsibilities

Review and process vendor invoices for appropriate documentation and accuracy, including assisting with weekly check runs in collaboration with the Controller and Project Managers
Code job-related invoices with job number, cost type, and cost code prior to routing for approval
Prioritize invoices requiring fast-track approvals (e.g., utilities, insurance agencies, early payment discount accounts)
Reconcile monthly vendor statements, research discrepancies, and communicate with vendors/subcontractors to resolve issues
Support annual 1099 maintenance and compliance tracking, including collecting required vendor and subcontractor documentation
Assist with monthly corporate credit card statement reconciliation
Support maintenance of capital equipment inventory control as needed
Assist with timely and accurate monthly and quarterly close processes, including more critical accounting functions
Maintain fixed asset records and record monthly depreciation
Maintain and reconcile prepaid balances and assist with expense accruals
Generate monthly inter-company billings
Assist with development of annual budgets
Manage and process monthly corporate credit card expense program
Assist with bi-weekly payroll processing and serve as payroll backup when needed
Support accounts payable and project accounting functions by syncing subcontractor commitments, project budgets, and change orders across internal systems
Collaborate with the accounting team to improve financial planning and process effectiveness
Perform other related duties as assigned

Required

Working knowledge of basic accounting principles and strong problem-solving abilities
Proficient in computer applications including Microsoft Office, G-Suite, and strong Excel skills
Strong attention to detail with excellent time management and organizational skills
Demonstrates critical and analytical thinking, initiative, flexibility, and sense of urgency
Ability to communicate effectively with internal teams and external vendors verbally and in writing
Ability to work collaboratively, manage competing priorities, and adapt to changes in work plans
Demonstrates ability to maintain a high level of confidentiality
Willingness to learn new systems and be coached for collective success
Ability to work effectively in a collaborative team environment and to adjust to changes in priorities and work plans

Preferred

Bachelor's degree in business administration, accounting, finance, or related field preferred
Minimum of 2 years experience in accounting and/or accounts payable (construction industry experience preferred)
Experience using accounting software Foundation and project management systems such as Procore
