Responsibilities
Performs moderately complex staff services work supporting regional operations. Monitors, coordinates responses and/or responds to Regional and Local Health Operations (RHLO) assignments by designated deadline to ensure compliance. Maintains updated contact information for organizations, central office, other regions, Local Health Departments and other governmental agencies. Maintains Local Health Authority (LHA) contact information and LHA documentation from counties. Enters data on complaints into the HEART tracking system and serves as a backup for inquiry data entry. Serves as Records Retention Coordinator for the Region. Serves as back-up LOC for regional headquarters and regional clinics/suboffices which includes submitting and following up on requests to the RAS for building repairs, maintenance, and remodeling. Participates in inclement weather coordination calls with RAS and prepares and sends emergency notifications to staff using the Send Word Now or a similar system
Serves as HR subject matter expert and provides technical assistance to managers and employees on hiring, time and labor, performance evaluation, classification audits, reporting and other HR policies. Guides staff on navigating HHS and DSHS practices, policies and procedures. Prepares, reviews, interprets and/or disseminates information or directives on agency initiatives and/or policies. Responds to complex inquiries regarding administrative regulations, policies and procedures. Provides technical assistance to regional programs in accordance with regional medical and/or administrative directions and guidelines. In collaboration with regional leadership, assists in developing region specific operating guidelines on administrative, operational, and human resources policies. Works with the Deputy Regional Director (DRD) on fiscal and budget related items for programs. Develops, updates, and presents New Employee Orientation for new regional employees at least quarterly. In collaboration with regional leadership, conducts surveys of regional staff including developing questions, designing the survey tool using survey software, distributing the survey to staff and analyzing, writing, and distributing a report on the findings
Serves as Team Lead for the Regional Administrative Support Team. Coordinates the work and schedules of the administrative staff ensuring front desk coverage when the receptionist is on leave or breaks. Provides oversight of administrative temporary/contract employees including coordinating work schedules, assigning work, and approving time sheets. Provides and coordinates training of administrative support team. Analyzes operational workflow and implements improvements in regional internal processes and systems. In coordination with the DRD and administrative support team, maintains and updates regional references and resources such as the Regional Employee Guidebook and brochure
Provides advanced administrative support to the RMD, DRD and Infectious Disease Program (IDP) Manager. Composes and edits complex correspondence, reports, forms and documents using word processing, presentation, flow charting, database, or spreadsheet software (Microsoft (MS) Office software). Responsible for coordinating meetings, conference calls, and other regional meetings and events such as all staff meetings, Commissioner visits, and Local Health Department Meetings. Responsible for coordinating travel accommodation and making reservations along with preparing and data entry on travel vouchers for RMD. Attends meetings with the RMD/DRD, provides support to meeting attendees, takes and prepares meeting notes as needed. Works closely with central office and regional staff. Maintains RMD licensure and certification information. Coordinates schedule of Family Medicine and Preventive Medicine Residents rotating with RMD/Region and plans orientation session for Residents
Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency's obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location
Qualification
Required
Minimum of 5 years' experience with human resource administration, office management, project coordination, or as a high-level administrative assistant or administrative support
Experience using spreadsheets and Microsoft Office applications
Preferred
Previous Experience With DSHS Is Preferred
Graduation from an accredited four-year college or university with major coursework in human resources, public or business administration, public health, or a related field is preferred
