Executive Assistant (Client Success and Operations)

Responsibilities
Owns recurring client communications and maintains accurate data tracking
Build strong relationships with clients through clear, concise, and timely communication
Provide solution-oriented service to all clients with a positive attitude
Own the client experience outside the session room
Own and manage internal and external client data in Google Drive and Asana
Coordinate session logistics with clients
Complete all session tasks in Asana by the designated deadlines
Report any issues with task deadlines to the Integrator
Own and manage the sales dashboard in Asana
Occasional business development research projects
Master the EVA administrative process (training provided)
Oversee various administrative tasks, including calendar and inbox management, data entry, meeting preparation, invoicing, and occasional personal tasks
Manage sensitive calendars, resolve conflicting demands, coordinate meeting logistics for participants, and provide the necessary documentation
Sort and respond to emails in multiple inboxes with a response time of 2 hours max
Manage internal and external communication in a timely and efficient manner, including email and phone
Balance shifting priorities and deadlines
Attend Zoom meetings & take detailed notes when necessary
Partner with key internal and external stakeholders
Develop the anticipation for Wayne’s administrative needs
Qualification
Required
Minimum 3–5 years of relevant experience in an Executive Assistant, Senior Admin, Operations Coordinator, or similar high-execution support role (preferably supporting a senior leader, consulting practice, or client-facing business)
Bachelor's Degree or relevant combination of education and experience
Strong ability to operate with high autonomy, manage shifting priorities, and deliver results with minimal supervision
Excellent written and verbal communication skills with a professional, client-ready tone
Highly organized with strong attention to detail and consistent follow-through
Proven ability to manage calendars, scheduling complexity, and time-sensitive coordination across multiple stakeholders
Comfortable working in structured tools such as Google Workspace (Docs, Sheets, Drive) and task management platforms like Asana
Strong sense of urgency, accountability, and ownership of outcomes (not just tasks)
Preferred
EOS experience or prior work supporting another EOS Implementer is a plus
