Responsibilities

Develop a deep understanding of client business strategy, solutions, and services; tailor programming and event execution to meet client objectives
Lead operational planning and delivery of high-profile executive events and sports hospitality programs, ensuring seamless guest experiences and operational excellence
Own detailed event plans, run-of-show documents, and operational timelines; align all internal and external stakeholders and ensure key milestones are met
Manage complex international logistics, including travel, accommodation, accreditation, visas, on-site access, and compliance with local regulations
Oversee supplier management: briefing, contracting, budget control, performance tracking, and on-site supervision
Lead events from concept to on-site delivery and activation, consolidating best practices and learnings for continuous improvement
Ensure compliance with client and Formula 1 operational standards, venue regulations, health & safety requirements, and brand guidelines; escalate operational issues for rapid resolution
Implement risk management and contingency planning to mitigate operational challenges in fast-paced live-event environments
Build and maintain strong relationships with key suppliers, including transport, hotels, and venues, ensuring smooth coordination and cross-functional alignment
Monitor industry trends and innovations in events, hospitality, and luxury lifestyle offerings to enhance client experiences
Manage post-event reconciliation, including budget closure, asset delivery, supplier close-out, internal reporting, and client/stakeholder follow-ups
Strategically evaluate and negotiate supplier budgets; renegotiate contracts as required
Create and present client-facing presentations, managing timelines and decision-making milestones proactively
Support new business pitches and proposal development
Confidently manage multi-million-dollar budgets; advise strategically on cost-saving concepts and operational best practices
Mentor junior team members, embedding a culture of operational excellence and accountability

Required

4-5 years' experience in global VIP events and experiential programs (sports experience preferred)
Proven ability to create and deliver seamless, bespoke end-to-end experiences across multiple international markets, including post-event reconciliation
Exceptional operational skills in detailed event planning, project management, and cross-functional communication
Understanding of sponsorship activation within the wider marketing and commercial context
Strong client management and relationship-building skills; highly sensitive to cross-cultural nuances and emotional intelligence in high-pressure environments
Adaptable, resilient, and capable of navigating ambiguity in fast-paced live-event settings
On-site live-event experience with hands-on delivery and problem-solving capabilities
Ability to adhere to corporate processes, policies, and brand guidelines
Highly organized, detail-oriented, and capable of managing multiple projects simultaneously
Excellent interpersonal and written communication skills
Willingness to work flexible hours, including weekends and travel domestically and internationally; international experience and knowledge of a foreign language are a plus
High proficiency in Microsoft Office; experience with Microsoft Project is advantageous

Preferred

Experience in Formula 1 or other sports industries is advantageous but not mandatory
