Davidson County Schools is seeking an Administrative Assistant for Operations to oversee the application process for school facility usage. The role involves ensuring compliance with policies, managing facility rentals, and providing excellent customer service to community groups.
Education
Responsibilities
Work requires computer literacy/proficiency and the ability to follow instructions necessary to input and transmit data
Assures compliance with School Board policy regarding school facility use and utilization by all users
Provides daily guidance to office staff, school employees, community and government agencies and businesses as required
Uses technology in the daily work of the office to ensure that all tasks are completed accurately and timely
Provides counseling to school personnel to assist in effectively dealing with issues related to community or shared use
Ensure accuracy and completeness of major components of system data including, but not limited to: Facilities leasing, and facility usage
Responsible for the day to day facility rentals
Prepare and maintain contracts, facility rental invoices and other required documentation
Collect and distribute funds
Update and maintain the plotform rental system
Develop for review annual assessment of community use fee schedule
Follows and updates all regulations and notices related to community or shared use and ensures the schools are aware of any updates and revisions
Manipulate and analyze information to produce meaningful reports from collected data
Collect and analyzes relevant data regarding building utilization and revenues generated in order to anticipate any changes for the future
Communicates effectively, both orally and in writing, with school staff, schools, and the public
Assists with planning and conducting necessary meetings related to the utilization of District facilities and properties using either the community use or share use concept
Reviews building use application to ensure schools are following proper procedures
Researches issues and resolves problems in maintaining a positive relationship with Davidson County Schools, the School Board, city and government groups, and the community
Provides information to other departments, other offices, and the public in a responsive manner
Contacts other Davidson County School departments or agencies for information if needed
Responds to various issues involving use of District resources by community groups, commercial organizations, and government agencies. Uses good judgment in recommending solutions and alternative strategies
Gathers, reviews, and submits payroll for athletic directors and driver education instructors
Coordinates with athletic directors on assignment entries and changes
Monitors and updates the athletic Google Form. Reviews responses and confirms assignments are in Linq before submitting payroll
Monitors and maintains budgets for Athletics, Driver Education, and First Aid programs
Works with all departments to ensure policies and procedures regarding budgets and allotments are maintained
Collaborates with the Athletic and Driver Education Coordinator to develop and distribute meeting agendas. Keeps records of meetings and submits to the Coordinator
Implements purchasing procedures and processes orders for Athletics, Driver Education, and First Aid supplies
Maintains accurate records of employee safety training and coordinates training sessions as needed
Oversees inventory management of first aid and emergency response supplies, including AEDs, Stop the Bleed kits, and EpiPens
Performs other related work as required
Qualification
Required
Considerable knowledge of Davidson County Schools policies, procedures, regulations and notices governing community use of school facilities and its organization
Considerable knowledge of and use of technology, including desktop operating system's software, as well as other sources of data to improve efficiency and accuracy
Skill in the operation of computers and office software packages
Ability to assess community non-school facilities usage needs
Ability to determine fee, in coordination with other departments
Ability to establish and maintain effective working relationships with co-workers, representatives of other agencies and departments, and the community
Ability to generate reports and analyze data
Ability to communicate effectively both orally and in writing
Ability to maximize utilization of school facilities consistent with the State Board's objectives
