Responsibilities
Maintain and complete bookkeeping for multiple clients on a monthly and quarterly basis
Record and properly classify transactions for:
Revenue and expenses
Cost of goods sold (COGS) and inventory-related activity
Asset and liability accounts
Prepare accurate financial statements (P&L and Balance Sheet)
Perform cleanup and catch-up bookkeeping as needed
Review books for accuracy and identify discrepancies or missing information
Reconcile:
Bank and credit card accounts
Payroll tax payable accounts
Sales tax payable accounts
Loan and clearing accounts
Investigate and resolve reconciliation differences
Ensure balance sheet accounts are accurate and complete
Process payroll and/or review payroll runs
Prepare and file payroll tax forms (941, 940, state filings)
Reconcile payroll and payroll tax accounts
Handle payroll reporting and respond to payroll-related questions
Prepare and file sales tax returns
Reconcile sales tax payable accounts
Research and resolve sales tax discrepancies
Assist clients with sales tax questions and compliance issues
Assist with opening new businesses (entity setup support, payroll and sales tax registrations)
Set up bookkeeping systems for new clients
Support transitions from prior accountants
Communicate directly with clients regarding bookkeeping, payroll, and sales tax matters
Ask appropriate follow-up questions to resolve issues
Support special projects such as:
Cleanup engagements
System corrections
Historical reconciliations
Qualification
Required
3+ years of hands-on bookkeeping experience
Prior experience in a CPA firm or outsourced accounting/bookkeeping environment
Strong QuickBooks Online & QuickBooks Desktop experience (Xero & Sage is a plus)
Solid understanding of cash and accrual accounting
Experience with payroll processing and payroll tax filings
Experience with sales tax filings and reconciliations
Experience with balance sheet reconciliations
Strong Excel skills (filters, formulas, basic lookups; advanced skills a plus)
Comfortable working independently and managing multiple clients
Preferred
Restaurant, retail, manufacturing, or service business clients
Cleanup and catch-up bookkeeping projects
Multi-state payroll or sales tax exposure
Experience supporting tax preparation by delivering clean, reconciled books
