Administration and Accounting Assistant, Brickell Avenue Office, Miami
Responsibilities
Receive and process incoming payables – verify amount billed is accurate, obtain proper approval (all things related to payables)
Reconcile firm credit card accounts and post charges accordingly
Run Conflicts Checks
Process checks for deposit
Assist with pre-bill edits
Preparing new employee packets
Adding and removing employees from insurance plans, parking / metro passes, security system
Assist with employee insurance renewals
Adding and removing employees from various programs (time entry, LexisNexis, Zoom, Netdocs, etc.)
Maintain employee directory data including Bar cards, driver’s licenses, passports, DOB’s, home addresses, and emergency contact information
Maintain employee timeclock assuring accuracy
Maintain supply inventory and place orders as needed
Contact vendors for repairs, a/c settings/service/after hours needs, communicate issues to building management when necessary
Maintain IT inventory
Maintain communication with FedEx, UPS, MSP, phone provider, and other service providers
Maintain updated COI’s
Assist with hotel agreement renewals
Assist with firm events
Qualification
Required
Strong understanding of basic accounting principles and procedures
Self-motivated and detail oriented
Ability to efficiently manage a high volume of invoices and maintain accurate records
Ability to communicate effectively with vendors and internal management
Proficiency with Microsoft Office
Preferred
College degree or classes in accounting, business or finance
Prior experience with Juris accounting software
