Inventory Purchasing and Accounting Assistant

The Purchasing and Accounting Assistant will collaborate closely with the Senior Accountant and CFO to process transactions, reconcile accounts, and manage vendor relationships, playing an essential role in supporting the financial integrity and operational efficiency of the organization.

Responsibilities

Record and post daily financial transactions, including journal entries, sales, purchases, and expense allocations
Reconcile general ledger accounts
Assist with month-end and year-end closing processes
Process accounts payable (A/P) and accounts receivable (A/R) in a timely and accurate manner
Assist in the preparation of financial reports and statements
Provide supporting documentation for audits and internal reviews
Maintain organized and up-to-date accounting records and files
Procure raw materials, packaging, and pharmacy supplies based on production forecasts and inventory levels
Issue and track purchase orders; follow up on delivery schedules
Verify and reconcile vendor invoices against purchase orders and delivery records
Maintain accurate vendor and product information in purchasing systems
Develop and maintain relationships with suppliers to ensure timely delivery and favorable pricing
Identify and resolve discrepancies with orders, deliveries, or invoices

Required

Strong understanding of basic accounting principles (GAAP knowledge a plus)
Proficiency in accounting software (QuickBooks, Sage, NetSuite, or equivalent)
Intermediate to advanced Excel skills (pivot tables, VLOOKUPs, etc.)
Strong organizational and time-management skills
Attention to detail and high level of accuracy
Effective verbal and written communication skills
Ability to work independently and as part of a cross-functional team
Ability to manage multiple tasks and meet deadlines
Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or a related field
Minimum of 2 years of experience in an accounting or purchasing role

Preferred

Familiarity with inventory and procurement processes preferred
Experience in the pharmaceutical, healthcare, or manufacturing industry is preferred
Knowledge of regulatory compliance standards in a 503A pharmacy setting is a plus
