Client Support & Operations Coordinator
Diplomatic Language Services (DLS) is a growing organization that provides foreign language training to USG personnel. They are seeking a Client Support & Operations Coordinator to ensure smooth logistics and customer service for training courses at their headquarters.

Responsibilities
Demonstrate a commitment to service, organization values and professionalism through appropriate conduct and demeanor at all times
Prepare lobby area for start/end of each business day
Greet all students, guests, vendors, customers and staff in a friendly and professional manner
Answer all incoming calls, assist the inquiries/request as needed and transfer when applicable
Ensure both IT and facilities-related issues are promptly resolved by submitting and following-up on all electronic tickets orders and service requests
Update & manage classroom scheduling via online system for all classes
Coordinate and communicate logistics for onsite classes
Prepare classrooms for incoming students and instructors
Ensure all classrooms always have the required technology and educational materials
Provide students and teachers with supplies upon request
Track inventory of and order classroom supplies and equipment
Identify issues with facilities (e.g. air conditioning, copiers, etc) and work with building management to address the issues
Track and report daily student attendance
Set up and break down spaces for departmental and company-wide events
Troubleshoot basic IT issues as they arise, including Zoom and internal systems issues
Create End of the Training certificates upon request
Distribute, process, & monitor Datawatch cards, library materials, and IT equipment
Manage & monitor Brivo System
Track and update petty cash report
May be required to perform other related duties as needed
Qualification
Required
Associate's degree or higher in any field
12 months' reception and/or administrative experience required
Strong ability to multi-task and detailed-oriented
Excellent verbal and written communication skills required
Positive attitude and customer service-oriented
Excellent command of skills related to organization, time management, and problem solving
Experience with Microsoft Office (Excel and Word specifically) and Outlook
Preferred
Comfort with technology and ability to troubleshoot tech-related issues
Familiarity or practical experience with Salesforce
