Responsibilities

Performs some day-to-day administrative tasks as part of a shared services team
Coordinates and manages many different types and sizes of projects for faculty and departments such as event planning, appointments, meetings, and travel arrangements, communications and promotions
Event support may include timeline planning, cost identification, resource coordination, reserving meeting spaces, materials procurement/production, meal planning, communications and promotions, and on-site event management
Liaises with other Liberal Arts staff and with other campus services such as Campus Facilities, Parking Services, Campus Center, and University Information Technology Services (UITS)
May perform duties related to maintaining an internal website, event calendars, and/or working with social media
Ensures adherence to company policies, procedures, and protocols in daily operations
Administrative tasks such as managing office supplies, document printing/scanning/copying, key management, parking validations, answering phone calls, responding to emails, greeting visitors, oversees opening, sorting, and routing of incoming mail, answers correspondence, prepares outgoing mail, prepares agendas, takes meeting minutes, and distributes follow-up action items
Coordinates support for project management activities, resource allocation, and communication
Develops a schedule designed to meet necessary deadlines and communicates with team members
Monitors project progress and handles moderately complex issues that arise
Ensures projects adhere to frameworks and all documentation is maintained appropriately for each project
Collaborates with cross functional teams with varying levels of seniority and experience to support various programs
Performs a variety of administrative skills and prepares correspondence related to the project
Maintains a detailed, organized file and records system

Required

High school diploma or equivalent (such as HSED or GED)
2 years of relevant experience
Demonstrates project management skills
Proficient communication skills
Excellent collaboration and team building skills
Demonstrates time management and priority setting skills
Effective interpersonal skills

Preferred

Microsoft Office Suite usage
Ability to coordinate all aspects of events (venue, catering, A/V, permits, schedules, setup/breakdown)
Ability to create promotional materials (flyers, graphics, signage) and manage branding consistency in a software program like Canva or Adobe Express
Excellent written and verbal communication for interacting with vendors, sponsors, and internal teams
Ability to make quick decisions and adapt under pressure during live events
Knowledge of digital marketing strategies (social media, email campaigns, website updates)
Demonstrate ability to maintain confidential information
Knowledge of project management concepts
Professional or personal experience with event planning and promotion
Additional software experience with any of the following: Adobe Creative Suite, Canva, ServiceNow, Trello, WordPress, Cascade CMS
Experience with using social media for professional or personal promotion
