Of Color Inc is seeking an Office Business Manager to ensure the efficient operation of their office environment. The role involves administrative support, supervising staff, and managing data entry processes while demonstrating leadership qualities and providing excellent customer service.

Responsibilities

Managing schedules for conference and community spaces for meetings
Monitoring and conducting furniture inventory for the office and ordering of supplies for the break room (kitchen) and cleaning supplies as approved by the manager
Managing incoming and outgoing correspondence, including packages; assisting with interoffice and outgoing mail
Filing and organizing records, invoices, and other important documentation as it relates to the position
With management approval, facilitates the scheduling of repairs for general office space and equipment; orders repairs for office equipment and maintenance, connecting with and escorting vendors
Facilitates office fire drills with monthly reports sent to human resources for filing
Ensures agency decorations are placed during holiday seasons and removed and stored in a safe space after the holiday has ended (e.g., Halloween, Thanksgiving, Christmas, Easter, etc.)
Place instructed communications across the workspace as needed (ex, bathroom out of order, etc.)
Assist with opening and closing the Office as needed
Participates in agency events as they occur. This includes toy drives, all staff meetings, and preparation of meeting space with managers and any agency fundraiser events
Attend and participate in monthly Environmental meetings with management
Supervise Receptionist and ensure key duties are assigned which complement the office and agency as a whole
Ensures front desk is staffed (via a devised and approved schedule) during receptionist lunch breaks, vacation, and time off across self and other Data Specialists on-site
Ordering of client supportive services needed by the assigned program and approved by the manager
Manage young adults when assigned to the agency as an Office Assistant at the worksite
Coordinate and complete the screening process for new client entries for assigned programs
Enter information into corresponding data portals, client files, and file maintenance
Excellent communication and collaboration skills with staff as needed to ensure data updates are managed, accurate, and monitored effectively
Monitor information system accuracy by running assigned discrepancy reports and ensuring corrections to data are made
Aggregation of data for the purpose of reporting to the management team and funders
Conducts file audits and participates in quality review meetings as requested
Secure and maintain HMIS Certification; serves as back-up for the manager
Build collaborative relationships with associates and service providers to facilitate program improvements
Model solution-focused and problem-solving skills; make constructive suggestions for needed changes
Ability to communicate difficult and sensitive information tactfully
Willingness to collaborate with other employees and vendors to resolve and troubleshoot issues
Assisting other employees, such as ensuring workers have the necessary resources they need to succeed
Handles confidential tasks assigned by the executive team (petty cash, furniture audit, etc.)
Behaves with integrity, demonstrates high ethical standards, and displays a positive image for Of Color, Inc
Acts in a professional manner at all times and maintains appropriate boundaries with clients and staff
Demonstrates accountability for results and keeps commitments to others
Reports to work, meetings, training, and job-related activities are prepared as scheduled
Demonstrates openness and respect for the cultural and socioeconomic characteristics of clients and coworkers
Understands and supports the agency’s standard of cultural proficiency and strives to meet it
Performs other related tasks as required or assigned

Required

High School Diploma with at least seven years of proven experience in a supervisory or data position, or; Bachelor's or AA degree with three or more years of experience in a supervisory or senior data position
Exceptional organizational ability and multitasking skills
Possess a good understanding of human services and not-for-profit agencies
Flexible enough to adapt to changing office needs and to-do lists
Understanding of common office software and programs, such as inventory management software and budgeting platforms
Attention to detail when creating and refining documentation
Financial acumen and decision-making while managing office expenses (petty cash)
Excellent communication skills (writing and presentation skills)
A strong sense of responsibility and orientation to detail is necessary

Preferred

Bachelor's or AA degree (human services, business, or related field) with three or more years of experience in a supervisory or senior data position
Highly skilled with Microsoft Excel, Word, PowerPoint, and Report Analysis and Writing, or other spreadsheet data reporting
