HR Administrative Coordinator
Ultimate Staffing is seeking an HR Administrative Coordinator to support the day-to-day operations of the Human Resources department. This role involves managing employee records, assisting with onboarding, and ensuring HR compliance to contribute to a positive employee experience.
Responsibilities
Maintain and update employee records, HR databases, and personnel files
Assist with daily administrative tasks, including preparing HR documents, reports, and correspondence
Respond to employee inquiries and provide timely support or escalation when needed
Post job listings, screen applications, and coordinate interview scheduling
Support the onboarding process, including preparing new-hire packets, collecting documents, and ensuring smooth orientation
Process new-hire paperwork and ensure accurate system entries
Assist employees with benefits enrollment questions and changes
Coordinate with payroll to ensure accurate timekeeping, updates, and employee status changes
Support annual open enrollment and benefits communication
Ensure HR processes comply with federal, state, and local labor laws
Help maintain accurate documentation for audits and compliance reviews
Assist with updating HR policies, employee handbooks, and internal procedures
Support HR initiatives such as engagement events, recognition programs, and training sessions
Help coordinate performance review cycles and collect required documentation
Provide general support for employee relations matters
Qualification
Required
1-3 years of HR or administrative experience
Strong organizational skills and high attention to detail
Excellent written and verbal communication skills
Ability to handle confidential information with discretion
Proficiency in Microsoft Office and HRIS systems (e.g., Workday, ADP, UKG)
Ability to manage multiple priorities and meet deadlines
